ADMINISTRATION OFFICER (OFFICE MANAGEMENT)

The Administration and Finance Department (A&F) upholds the fiduciary responsibilities of the Singapore Police Force (SPF) in the areas of administration, finance and procurement through strengthening governance and building capacity.

As an Administration Officer (Office Management), you support the day-to-day operations of the Office Management Section, which includes but not limited to the production of police warrant cards, management of Public Service (PS) cards, compilation and publication of Force Orders, and procurement of goods and services for the department.  You also serve as the department’s Assistant IT Liaison Officer (AITLO) and Goods Receiving Officer (GRO).

You will be placed under the Management Executive Scheme.

 

JOB EXPECTATIONS

Your key responsibility areas include:

  • Process PWCs within 6 working days upon receipt of all relevant documents, or within the stipulated time-line for batch processing.
  • Ensure data integrity in the Police Warrant Card System (PWCS) and keep the list of Unit PWCS Liaison Officers up-to-date.
  • Prepare returns for reporting at A&F's monthly Staff Meeting.
  • Collate inputs from SPF units and publish the weekly Force Orders.
  • Updates SPF key officers' contact details in Singapore Government Directory interactive (SGDi).
  • Serve as the Assistant ITLO for A&F, responsible for IT-related matters.
  • Serve as A&F's Goods Receiving Officer (GRO), ensuring the goods/services are correctly delivered in quantity and charged to the correct account.
  • Manages the lists of inventory and fixed assets in A&F, such as stock/asset additions and retirements.
  • Assist the Fixed Asset Approving Officer (FAAO) in the annual Fixed Asset Verification Exercise (FAVE).
  • Apply security passes for A&F's staff and ensure that the security passes and lanyards of leaving staff are promptly retrieved and returned to the Security Unit.
  • Maintain records on the issuance of security passes and lanyards in A&F.
  • Make recommendations for improvements to existing work processes and support implementation.

 

REQUIREMENTS

  • Qualification in Computer Science, Information Systems, Engineering or its equivalent and relevant working experience in IT support function would be an added advantage.
  • Proficient in MS Office applications, especially MS Excel.
  • Good understanding of the IM on IT Management, IM on Asset Management and Singapore Government Instructions for Security of Classified Information would be an advantage.
  • Experience in using iLMS, an equivalent of a procurement or asset management system would be an advantage.
  • Must demonstrate integrity to handle highly confidential information in an appropriate manner.
  • Organised and detail-oriented.
  • Team player with good communication and interpersonal skills.
