Job Duties:
10Maintain Division Director and other faculty daily calendar, schedule appointments, briefs Division Director and manages schedule each day. Provides backgrounds information for meetings and events.Essential
10Serves as a central information source for important divisional activities, such as the Division Director''s schedule, faculty recruitment status, physician licensure, etc. Responsible for coordinating recruitment of prospective faculty and other personnel within the Cardiology Division.Essential
15Distribution of outpatient notes for Division Director and other faculty. Retrieve all patient related correspondence and outside records and route appropriately. Receives telephone calls and visitors to the division, screens and directs incoming calls to the division director and faculty as needed.Essential
15Receives incoming correspondence for Division Director & other faculty, screens and routes mail as necessary. Follows up on important documents including distribution of outpatient notes to ensure timely response time. Assures accurate archiving of Division Director correspondence. Maintains accurate filing system for Division Director. Types sensitive correspondence for the Division Director pertaining to patients, legal matters, faculty recruitment, reference letters and other confidential matters.Essential
25Oversees administrative staff on day to day basis - Makes decisions on optimal workflow for all administrative office staff in the Division. Oversee weekly payroll process for admin and other staff. Assure adequate staffing level for division phone lines and assign staff to cover as needed.Essential
25Supervise, assign and review quality of work of Admin staff. Screen, interview, select and train new employees. Arrange for coverage for any administrative absences. Responsible for submission of performance evaluations for administrative staff and maintaining employee personnel files.Essential

Job summary: Provides administrative and business management support for the Division of Cardiology and the Division Director.  Performs a variety of administrative duties for the division including supporting the recruitment of new faculty members.

Payscale Salary Range: UNIV-Band 5:  $32,838.00 - $46,799.00 - $60,760.00 (min - mid - max)

Minimum Experience and Training Requirements: A high school diploma and four years relevant experience in business management, public administration or Administrative services; or a bachelor's degree and two years experience in business management, public administration or Administrative services.
