Job Duties:
15Maintains Clinic calendars for division faculty. Responsible for timekeeping information for division faculty, confirming schedules, obtaining signatures, and providing department administrator with timesheets as needed. Responsible for assisting with travel arrangements, course attendance, and other external commitments for division faculty.Essential
20Responsible for the compilation and preparation of academic, research and educational data as required for University, Hospital, Practice Plan, Accrediting Agencies, Grantors, etc., inclusive of, but not limited to: accurate record keeping which consolidates all information to complete particular reports for the department. Responsible for working with our Dean’s Office in maintaining up-to-date faculty information as it relates to Curriculum Vieta’s and Faculty Licensing.Essential
25As related to patient, participant, and both internal and external providers, prepares materials, reports, and correspondence as directed. Receives/downloads medical documentation utilizing MUSC’s Electronic Medical Record Systems. Compiles and prepares clinic data as required by the University, Hospital, Practice Plan, and Accrediting Agencies. Provides assistance to Central & Surgery Scheduling as needed. Works on behalf of the physician, support team, patient, and/or participant to experience a seamless clinical experience. Is the voice and conduit for effective and efficient communication.Essential
30Administrative Assistant for Otolaryngology, Head & Neck Surgery, Division of Pediatrics. Provides administrative support for the clinical director, division faculty, APP’s, and other division support personnel as required. Tasks include but are not limited to receipt and review of correspondence. Where appropriate, drafts, takes action, and/or makes recommendation for responses. As directed, prepares letters, spreadsheets, and power point presentations. Answers and screens incoming calls, schedules appointments, relays sensitive conversations to appropriate providers and discreetly responds to individuals. Responsible for miscellaneous letters and documentation as needed. Maintains a “tickler” system that allows for reminders and follow through on projects.Essential
5Provides assistance to the departmental Administrative Manager on an as needed basis. Provide routine and occasional administrative assistance with special projects of a highly sensitive nature.Essential
5Provides assistance with coordinating activities of Pediatric continuing education courses sponsored by the department. Occasional evening and weekend hours will apply.Essential

Payscale Salary Range: UNIV-Band 4: $26,988.00 - $38,460.00 - $49,932.00 (min - mid - max)

FLSA: Hourly

Minimum Experience and Training Requirements: A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.

Preferred Experience: Exceptional skills in the use of Microsoft Office Suite (Word, Excel, PowerPoint) required.  Above average typing and spelling skills are necessary for success in this position.  Medical Terminology a plus. Ability to discern priorities and discretion of workload required. Knowledge of EPIC & MUSC Scheduling Systems preferred.  Previous use of similar products a plus.  Proficiency, diplomacy, and professionalism in both written & oral communication skills a must.
