Job Duties:
10Administrative: Provide administrative support for dept. leadership including calendar management for Administrator and Chief of Staff, maintain schedules and arrange meetings, complete scanning, and communicate availability with all staff members. Maintain and update department resources including phone lists, letterhead and faculty/staff schedules.Essential
10Clinical Training Support: Coordinates department radiation badge program for faculty, residents and clinical support staff. Facilitate purchase orders for the residency program as approved by the program director.Essential
20Front Desk Support: Maintains a professional and hospitable presence for all entering or leaving the Department –taking care of the needs of guests and patients. Maintains the orderliness of the lobby, two conference rooms, Break Room, along with keeping copy machines and work areas stocked. Maintains ordering of supplies and handles maintenance agreements. Coordinates the scheduling for both Conference Rooms through Outlook. Answers and coordinates all incoming calls for Department. Monitors incoming and outgoing Department mail, and assists in daily package delivery.Essential
20KRONOS support: Serves as main timekeeper for Department, entering in leave and time correction forms correctly as they are received for both MUSC and MUSCP employees. Meets weekly to ensure all processes are meeting standards and all documentation is maintained for audit purposes. Maintains records for holiday time worked, and contacts staff when additional documentation and/or time approval is needed. Provide explanation to faculty and staff regarding time keeping policy and procedure questions as they arise.Essential
30Procurement: Serve as department purchasing liaison including fulfilling pcard purchasing for research and associated grants, and performing corresponding reconciliations. Coordinates all department postage and shipping logistics in addition to ensuring all associated bills are paid. Conducts inventory assessment for all department equipment across all locations orthopaedic's occupy at MUSC (list locations). Processes all change orders for purchase orders, and completes deposit process for incoming grant payments. Functions as finance clerk for PCORI PEPPER Grant including processing site enrollment invoices, and honorariums.Essential
5Dept. Planning and Communications: Oversees all Department special functions, including Holiday events, Graduation events, and assist when needed with special meetings -Book venues, make travel arrangements when necessary, oversee menu and price negotiations, handles invitations and other related communication regarding the event, and works in tandem with Department Leadership to ensure success of events. Create content and narratives, solicit new to be included from staff, and distribute the Department’s quarterly newsletter.Essential

Job summary: To provide administrative support for the Department of Orthopaedics, serving as the Front Desk Assistant. The incumbent must maintain a professional and hospitable presence for all entering or leaving the Department. In addition, the Front Desk Assistant will provide the department with support operationally, and financially.


Payscale Salary Range: UNIV-Band 4: $27,527.00 - $39,228.00 - $50,930.00 (min - mid - max)


FLSA: Hourly


Minimum Experience and Training Requirements: A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.

Additional Knowledge, skill, ability preferred: Outlook, Kronos, UMS, and PowerPoint experience a plus.

Guideline and Supervision: Supports the Department with an over-arching reach –reports directly to the Chief of Staff.
