Job Duties:
25Serves as a contact person for the Division of Oncologic and Endocrine Surgery. Coordinates administrative requirements of faculty member i.e. track CME credits, assist with applications and licenses, coordinate reimbursements, sort and respond to mail correspondence, coordinates physician schedules, including scheduling meetings, preparing travel arrangements. Maintains calendars and assembles all appropriate information for upcoming meetings. Briefs physician prior to meetings.Essential
25Triage patient calls and respond or route appropriately.Essential
35Responsible for scheduling and coordinating patient surgeries, diagnostic tests, or other ancillary procedures; ensuring necessary clearances are obtained, ensuring consents have been obtained and scanned; responsible for communicating with patients regarding their scheduled surgery and tests.Essential
5Manage patient referrals ensuring that all outside records are reviewed, scanned and appropriate ancillary tests/pathology have been reviewed or requested and received.Essential
5Manages and schedules clinic appointments, revises clinic schedules as necessary, reviews clinics prior to clinic date to ensure that they are scheduled appropriately, and fax clinic notes/letters to referring and consulting physicians.Essential

Job Summary: Position available for an Administrative Assistant to join the Department of Surgery, Surgical Oncology Division. Autonomous position providing high level administrative support to surgeons within the Division of Oncologic and Endocrine Surgery.  Performs various duties for clinical, academic, research, and public service activities in order to optimize time spent by these doctors on administrative matters.


Payscale Salary Range: UNIV-Band 4: $27,527.00 - $39,228.00 - $50,930.00 (min - mid - max)


FLSA: Hourly


Minimum Experience and Training Requirements: A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.

Additional Knowledge, Skills, and Abilities Preferred: Strong teamwork, communication, and organizational skills a must. Excellent patient service and communication skills a must. Ability to multitask, plan, organize projects and prioritize a must. Must be able to follow written and oral instructions of a complex nature.  Excellent typing skills and computer experience with Windows, Microsoft Office, and Adobe Acrobat a must. EPIC experience a plus. Ability to exercise discretion in interpreting and applying established University, Hospital, and/or Departmental policies and procedures.  Ability to establish and maintain effective working relationships. Must communicate effectively.
