M - TH 12:15 pm - 9:15 pm, Fridays 8:00 am - 5:00 pm

Job Summary:

Performs essential clerical and general office duties.

Required Knowledge, Skills & Abilities:

1. High school diploma or general education degree (GED); or equivalent combination of education and/or experience.

2. Inter-cultural experience and bilingual (English/Spanish).

3. Proficiency in Microsoft Office software (Word, Excel and Outlook) and use of the Internet.

4. Must be available to work a combination of day and evening hours.

5. Strong interpersonal skills to be applied to a variety of individuals with different education,
ethnic and socio-economic backgrounds.

6. Ability to work a flexible schedule which includes days/evenings/weekends as needed by
the department.

Desired Knowledge, Skills & Abilities:

1. Previous experience using databases (e.g. DAISi) preferred.

2. Associate degree preferred.

3. A working knowledge of ICCB Adult Education and Family Literacy policies and
procedures preferred.

Essential Duties:

1. Perform a variety of general office and clerical duties, including, but not limited to:
    a. Compose, format and type routine correspondence, reports and other documents.
    b. Greet and assist office/department visitors, including referrals to appropriate
        individuals and community resources, including Spanish language communication,
        as needed
    c. Answer and route telephone calls and schedule appointments.
    d. Communicate with faculty and students regarding class cancellations.
    e. Enter and retrieve data and information from computer systems and software
    f.  Establish and maintain filing systems.
    g. Assist with student recruitment by attending local events and meetings and disseminating
        recruitment materials to promote programs and services.
    h. Organize and inventory office supplies, including arranging for equipment maintenance.
    i. Responsible for maintaining organization of shared work spaces and informational
    j. Use software for assignment and tracking purposes (e.g., key maintenance system and
       assignment of faculty storage drawers).
    k. Assists staff with testing and registration functions, as needed.
    l. Represent programs, as needed, in matters addressing the Spanish speaking community.

Other Duties:

    1. Assist in the review and monitoring of timesheet submission.
    2. Orient, train or back up other clerical workers in the office or department.
    3. Assist faculty members and other employees with various clerical tasks (e.g. assembling
        materials for committee meetings).
    4. Serve as backup for other office personnel, including opening and closing the facility, as
    5. Perform other job-related duties as assigned which pertain to the job description.
    6. Ability to work a flexible schedule which includes days/evenings/weekends as needed by
        the department.
