Job Description

The Undergraduate Student Services Coordinator in the Department of Sociology supports Undergraduate Student Services for Sociology on the Blacksburg campus. This administrative position works closely and collaboratively with the Director of Undergraduate Studies (DUGS), Academic Advisors, the Department Head's Office, and student ambassadors to provide innovative, specialized support that is grounded in the principles of excellent student support, customer service, and collegiality.

The Undergraduate Student Services Coordinator will serve as the main point of contact for administrative support for undergraduate student services for faculty, advisers, and students, including course scheduling and timetable maintenance, forms processing, force add requests, change of grades, checksheets, tracking enrollment data, event planning and implementation, student outreach and recruitment, student organization matters, graduation clearance, classroom reservations, and maintaining the community space for undergraduate students. The Undergraduate Student Services Coordinator will also assist in marketing Sociology to students by managing the @SOCVT social media accounts.

Additionally, the Undergraduate Student Services Coordinator will also perform reception duties in the Undergraduate Student Services Center and in the Main Office for Sociology, which includes greeting visitors, answering phones and checking voicemail, delivering mail to faculty and staff, handling the soc@vt.edu email account, and assisting with general tidying of the UG Student Services Center and, on occasion, the Main Office.

Although this position is primarily faculty and staff-facing, the Undergraduate Student Services Coordinator deals directly with students for administrative processes, such as form completion and graduation clearance, and to assist student organization leaders. Occasional evening and weekend work required.

Required Qualifications

  • Bachelor's degree and/or the equivalent level of training and experience
  • Proficiency using various types of software, including word processing, spreadsheets, presentation, desktop publishing, calendaring, and email; managing information on shared servers; using the internet for research/information gathering; and managing social media accounts
  • Experience supporting the internal day-to-day operations of a professional office environment using sound judgment, initiative, and discretion
  • Exceptional organizational, analytical, interpersonal, and communication skills
  • Demonstrated ability to prioritize multiple tasks and follow through to completion with strict attention to detail and professionalism.
  • Ability to work successfully with diverse people on complex projects
  • Ability to communicate effectively and confidentially
  • Ability to plan, implement, and coordinate events
  • Ability to work independently with minimal supervision, yet function collaboratively as a member of a dynamic team

Preferred Qualifications

  • Prior administrative experience working in a higher education environment
  • Working knowledge of various VT university policies and procedures related to academic programs and student support services
  • Knowledge and familiarity with applications (Banner, Navigate, PageUp, Canva, Microsoft Office, Google Suite etc.), policies, and procedures
  • Background in Sociology and/or Criminology is desirable
