Duties and Responsibilities:
• Maintain performance standards and pursue goals, objectives, and activities that promote the mission, vision and value statement of the College.
• Compose correspondence from Dean and nursing faculty to individuals, community agencies, professional organizations, faculty, staff, and students for their review and signature.
• Handle correspondence (written, telephone, fax, and e-mail) for the Department of Nursing & Allied Health.
• Answer multi-line telephone, receiving calls from off campus and on campus. Screen all calls for Dean and faculty. Route calls to appropriate parties.
• Assist the Dean and Directors in the N&AH department to submit requisitions and check requests.
- Order office supplies, lab equipment, supplies, subscriptions, etc. for department.
- Obtain quotes as needed
- Collect & Distribute supplies as received
• Welcome visitors to Department of Nursing & Allied Health office, including students, prospective students, parents, faculty, and staff, in a professional manner. Screens all visitors and route to appropriate individuals.
• Provide information to prospective students, general public, faculty, and affiliated agencies concerning departmental and college policies.
• Manage and updates personnel files for faculty and staff.
• Maintain, renew, and facilitate new and existing clinical affiliation agreements.
• Receive and process VSL program applications and arrange classes as needed.
• Assist with advising process as needed.
• Monitor and report to the Dean any changes/updates for the program brochure, website and college catalog information to assure correct program information is maintained.
• Manage office assignments, ordering of keys, telephone moves and updates for faculty and staff.
• Develop and update several mailing lists for all affiliated institutions, prospective students, graduates, faculty, and workshop participants.
• Build workforce programs sections/courses and some credit courses in Banner as needed.
• Enter Industry Based Certifications (IBC’s) into Banner for assigned workforce programs.
• Assist Enrollment Services with new student orientations.
• Guide campus tours for groups and individuals.
• Perform demonstrations of simulation equipment for visitors.
• Assist LA NACT testing coordinator as needed.
• Coordinate paperwork of new faculty, securing necessary data forms from prospective faculty. Assure new faculty have a personnel file with necessary documentation to meet health and state board requirements.
• Assemble materials, documents, or packets for meetings. Arrange refreshments or catering when necessary. Assist in scheduling individual and group meetings for accreditation site visits. Arrange catering, janitorial services, hotel arrangements, etc.
• Maintain all property control for the Division.
• Serve as department liaison between drug screening companies and BR Solutions background check company for faculty and students.
• Serve as department Safety Liaison.
• Assist coordinators as needed with pinning ceremonies.
• Seek and suggest new methods for more efficient operation of the Department of Nursing and Allied Health..
• Attend on and off campus recruiting events, Open House, Career Fairs, etc. to showcase N&AH programs and answer questions.
• Order and manage SWAG for recruiting events.
• Assist Dean of Nursing and Allied Health with grant projects i.e. summer learning experience.
• Coordinate Stericycle pickups with Division of N & AH program coordinators.
• Serve as contact person for copy room/Xerox supplies needs.
• Foster, demonstrate, and actively participate in a culture of mutual respect for students, guests, and co-workers from all backgrounds, perspectives and abilities. Communicate effectively with students, colleagues, and supervisors and utilize appropriate channels of communication within the college community concerning procedures and/or inquiries.
• Attend and participate in scheduled activities, which include graduation, open house/recruiting events as assigned, convocation, and required meetings. Share ideas and information, and work toward common department and College goals.
• Serve on college committees as a member or as chair. Serve on search committees.
• Participate in professional development activities that enhance effectiveness (convocation, LCTCS conference, etc.).
• Represent the college in a manner that promotes a professional and positive image.
• Adhere to College and LCTCS policies.
• Embrace college culture.
• Complete all required assignments prior to deadlines (Fletcher/LCTCS trainings, etc.).
• Perform other duties as assigned.
Required Education: An Associate’s Degree with five years experience or a Bachelor’s degree may substitute for ten plus years experience.
Required Experience: Experience in an administrative support role.
Required Knowledge, Skills and Abilities: Excellent interpersonal, computer, oral, and written communication skills. Working knowledge of Microsoft Office, Word and Excel. Must be willing to work flexible hours.
