The Administrative Assistant II will work under the direction of the administrative assistant Ill. Serve as the primary person to answer the multi-line phone for the System Office and direct callers appropriately. Must provide excellent customer service to both internal and external users of the Center. Must be knowledgeable about the System Office and College functions in order to appropriately direct incoming calls and guests. Performs duties in accordance with System Office practices, procedures, and policies. Receives, monitors and schedules Fleet Car requests. Assists in scheduling conference room bookings and provides conference center meeting needs. Assists in development and construction of weekly room setups by handling the physical set up of tables, chairs, air walls, podiums, and other meeting needs. Responsible for promoting and protecting the KCTCS brand to System Office visitors. Must be adept in the Microsoft Suite of software as well as other scheduling software.
Positions with the KCTCS System Office located in Versailles, KY are term-contract positions, with the expectancy of continuance based on performance. |

The Executive Administrative Assistant to the Vice President of Academics and Student Services provides high-level administrative support to the VP, ensuring the efficient operation of the division. This role requires a proactive, detail-oriented, and highly organized individual who can handle complex tasks, manage confidential information, and interact with a wide range of stakeholders. The assistant will be responsible for managing schedules, coordinating meetings, preparing reports and presentations, and assisting with day-to-day operations within the VP's office. Assist the VP with the management of calendar, respond to emails, process documents, manage travel, facilitate obtaining signatures on relevant documents, prepare project documents and reports, budget management, take minutes of various groups/meetings, and other duties as requested. The assistant also supports/assists the other units within the division. |
