Job Duties

The Department of Behavioral Health and Developmental Services’ (DBHDS) Office of Enterprise Management Services (OEMS) is seeking a motivated individual to serve as the division’s Executive Assistant. Under the direction of the Deputy Director, this position will work independently providing executive level administrative and program support to the OEMS team, to include organizing, planning, coordinating, and prioritizing multiple simultaneous projects and tasks. This position will also provide federally required meeting support, reports /grants/public hearing supports, and project coordination and monitoring. In addition, this position will serve as liaison between the Office of Community Operations, internal/external business partners, and stakeholders, and will independently manage all administrative affairs for Community Operations.

Minimum Qualifications

• Experience in administrative duties to include scheduling, notetaking, event planning, and invoicing.
• Ability to manage complex tasks/projects while carrying out day-to-day administrative duties.
• Ability to work autonomously and to make independent decisions on assigned projects and tasks.
• Knowledge of federal and state funds and their associated agreements.
• Knowledge of procurement practices and procedures.
• Considerable knowledge of modern office procedures and equipment and the ability to maintain moderately complex records.
• Experience with social media and MS Office products such as Word, PowerPoint, and Excel.
• Ability to prepare reports, use spreadsheets, and learn electronic systems in order to record information correctly in various formats.
• Ability to plan, coordinate and implement trainings as needed.
• Ability to relate well to a diverse group of individuals and teams of varying professional levels.
• Strong oral and written communication skills.

Additional Considerations

• Knowledge and skills in the administrative responsibility of DBHDS policies, practices, and procedures.
• Familiarity with the Virginia’s eProcurement Marketplace (eVA).
