About the Department:
As the steward of student academic data, the Office of the University Registrar (OUR) works collaboratively with other student services offices, academic units, administrative offices, and standing committees to ensure policies and practices align, and to provide outstanding service to students, faculty, staff, and alumni. The OUR actively supports and leads change while serving as a strategic partner to those the Office serves, focusing on ways to become more efficient, effective, and improving services to university constituents and meeting the needs of an evolving higher education environment.

About the Position:
The Assistant Registrar for Academic Scheduling leads the team responsible for university-wide processes for academic schedule development, class and classroom scheduling, class registration, requisite maintenance, systems access, support for students, faculty, and staff, and compliance with internal and external policies and procedures. The position is expected to set operational goals for academic scheduling that support the university’s mission and includes recommending and implementing process improvements to make the functions more efficient and service-oriented, as well to ensure alignment with best practices. This requires comprehensive and authoritative knowledge to be an effective leader, manager, and active participant in improving services to support the scheduling processes for the University, including all campuses and locations. This position will provide outstanding service to all constituents, internal and external, by ensuring the integrity and quality of services, in the pursuit of continuous improvement.

Responsibilities:
Academic Scheduling:
- Oversees all aspects of academic schedule development and scheduling academic classes for the university. This includes working with all academic units to ensure an appropriate distribution of classes across teaching periods, that classes are scheduled in the correct location, and final exams are appropriately scheduled;
- Monitors, manages, and communicates classroom usage and scheduling practices;
- Participates in user acceptance testing (UAT) for upgrades of and improvements to academic scheduling software and related systems including the Student Information System; and
- Ensures that the academic calendars are correct and up-to-date and that the OUR website accurately reflects the appropriate academic calendar dates.
Leadership:
- Manages and coaches direct reports on the Academic Scheduling team;
- Collaboratively designs and implements strategic and operational goals for the team;
- Monitors performance and individual development of academic scheduling staff; and
- Addresses training needs and provides career development opportunities such as workshops, seminars, and training programs.
Reporting and insights:
- Provides ad hoc and scheduled reports on classroom utilization, scheduling trends, and other academic scheduling-related items as necessary;
- Contributes to the maturation of academic scheduling analytics and distribution of new tools and insights; and
- Works collaboratively with the Academic Scheduling team and the academic unit schedulers to ensure reporting needs across the institution are met.
Unspecified Responsibilities:
- Performs other related duties as assigned. The omission of specific duties does not preclude the Senior Associate Registrar and University Registrar from assigning duties that are logically related to the position.

Required Qualifications:
- Experience with events scheduling and academic scheduling products;
- Familiarity with higher education student information systems;
- Excellent verbal and written communication skills;
- Excellent organizational skills and a high level of attention to detail;
- Demonstrated ability to solve complex problems using logic and strong analytical skills; and
- Demonstrated ability to prioritize, establish goals, and see tasks through to completion.

Preferred Qualifications:
- Bachelor’s degree in related field;
- Experienced user of the MS Office suite, student information systems, and academic scheduling software;
- Experience with Ellucian Banner student information system;
- Experience with 25Live events scheduling and CourseLeaf academic scheduling products, including the CLSS module;
- Prior supervisory experience; and
- Prior experience providing customer service.
