Position Introduction:

Be the Force Behind the Mission. At the University Outreach, we don't just teach - we transform. For nearly 70 years, OU Outreach has extended the power of one of the nation's leading research universities into communities, organizations, and lives across Oklahoma and beyond. From workforce development and PreK-12 education to community health, disability training, and applied research, our work is wide-reaching, mission-driven, and genuinely meaningful. We're looking for an exceptional Executive Assistant to serve as the right-hand of the Sr. Associate Vice President of University Outreach - a senior leader whose work touches every corner of this dynamic organization.

Why This Role Is Different:

This isn't a traditional administrative support position. As Executive Assistant to the Sr. AVP, you'll sit at the intersection of strategy, relationships, and operations. You'll be a trusted partner and ambassador - someone who keeps complex initiatives moving, anticipates needs before they arise, and makes every interaction with the Sr. AVP's office feel seamless and intentional. What You'll Do:

  • Manage a complex executive calendar, travel logistics, meeting preparation, and follow-up with precision and professionalism.
  • Serve as the primary communication bridge between the Sr. AVP and internal/external stakeholders, handling sensitive matters with discretion.
  • Drive operational efficiency through independent process management, documentation, and workflow coordination.
  • Conduct research and synthesize information to support executive decision-making, presentations, and policy materials.
  • Lead and manage special projects, exercising sound judgment and independent problem-solving with minimal oversight.

Why OU Outreach? OU Outreach is a recognized leader in lifelong learning, dedicated to helping individuals, businesses, groups, and communities transform themselves through knowledge. When you join our team, you're not just supporting an executive; you're contributing to a mission that equips learners, strengthens communities, and bridges academia with real-world impact. Our culture is grounded in values that show up every day: respect and civility, knowledge sharing, continuous improvement, and deep commitment to cultural inclusion. You'll work alongside people who believe in what they do and invest in each other's success. And as part of the broader University of Oklahoma community, you'll have access to robust benefits, professional development opportunities, and the pride of working for one of Oklahoma's most storied institutions.

What We're Looking For: The ideal candidate for this role brings more than a strong resume; they bring the right mindset. We're looking for someone who takes initiative and doesn't wait to be told what needs to be done. Someone who is eager to grow, actively building their skillset and embracing new challenges as opportunities rather than obstacles. We value professionals who know their limits and aren't afraid to ask for help, because collaboration and self-awareness are strengths, not weaknesses. We are looking for a candidate who demonstrates strong proficiency in modern technology tools, including advanced use of Microsoft 365 applications and emerging AI platforms, to drive efficiency, data-driven decision-making, and continuous innovation. They are adaptable learners who leverage new technologies to streamline workflows, enhance collaboration, and deliver high-quality business results. Most importantly, we're looking for someone who genuinely cares about the mission of OU Outreach and the communities we serve. This work matters, and the people who thrive here feel that. We want someone who shows up with a high level of commitment to the role, to the team, and to the broader purpose behind everything we do. Ready to Make Your Mark? If you're a strategic thinker, a natural organizer, and someone who takes pride in being the person leadership counts on - we want to hear from you.
