About the role
Are you an administrative professional with a keen eye for detail and a passion for safety and compliance? Thiess is seeking a Contractors & SHMS Administrator to join our dynamic team at the QCoal Northern Hub Project in Collinsville.
In this pivotal, site-based role, you’ll ensure contractors meet all legal, safety, and operational requirements under our Safety & Health Management System (SHMS). Your work will be instrumental in supporting a safe and compliant workforce, contributing directly to the smooth running of our operations.
Working a 5/2 roster and reporting directly to the Site Manager your key responsibilities in this role will include:
Contractor Compliance & SHMS Administration
- Ensure contractors meet all entry requirements, including inductions, medicals, and competency checks
- Manage and maintain contractor records within the Learning Management System (LMS) and Contractor Management System (CMS)
- Verify licenses, insurances, and training certifications in line with the Coal Mining Safety & Health Act 1999 (Qld) and site SHMS
- Liaise with Safety, Training, and Contracts teams to enforce site-specific compliance and risk processes
Contract Administration & Document Control
- Provide administrative support for contracts, including variations, documentation, and approvals
- Maintain accurate contract registers and ensure alignment with company policies and legal requirements
- Organise contractor safety files, risk assessments, and compliance records
Audits, Reporting & Stakeholder Engagement
- Prepare compliance reports and documentation for audits
- Generate and present contractor compliance reports to management
- Act as the key point of contact for SHMS-related contractor inquiries
- Collaborate closely with safety, training, and commercial teams to support operational excellence
About you
- Cert III or IV in Business Administration, Contract Management, or a related field (desirable)
- Experience in contract administration within mining, construction, or heavy industry
- Solid understanding of SHMS and contractor compliance requirements in a coal mining environment
- Proficient in LMS, CMS, and the Microsoft Office Suite
- Ability to work collaboratively within a small team environment and engage with onsite client
- Keen, passionate and positive attitude
- A commitment to the best practice of health and safety at all times
- Excellent behavioural, time management, analytical, verbal and written communication skills
