You will provide high-quality, proactive and trusted executive support to the UMAC Senior Leadership Team. Embedded within the Strategy and Operational Performance team, this role is central to enabling effective executive decision-making and supporting the delivery of strategic priorities across the University.

This is a dynamic, high-trust position requiring discretion, adaptability and sound judgement. You’ll balance planned work with emerging priorities and confidently manage multiple activities with competing deadlines.

Key Responsibilities

  • Deliver high-level executive administration to support the efficient functioning of UMAC’s senior leadership team.

  • Provide comprehensive executive support, including calendar and travel management, meeting coordination, event support, and the preparation and editing of papers, briefings, presentations and written advice.

  • Coordinate executive support for committees and working groups, including agendas, meeting papers, minutes and follow-up of action items.

  • Manage domestic and international travel arrangements and associated logistics.
    Manage financial administration, including accurate record-keeping, credit card reconciliations, expense claims and reimbursements.

  • Act as a key liaison between the UMAC senior leadership team and stakeholders, delivering responsive, confidential support and contributing to continuous improvement in executive administration and operational practices.

Key Selection Criteria

  • Proven 5+ years’ experience providing high-quality executive and administrative support in a busy, complex environment.

  • Excellent organisational and time-management skills, with the ability to manage competing priorities and meet deadlines in a fast-paced setting.

  • Strong communication skills, including the ability to prepare high-quality documentation and engage effectively with senior and diverse stakeholders.
    Well-developed problem-solving and analytical skills, with sound judgement, initiative and the ability to work both independently and collaboratively.

  • High-level administrative capability, including strong attention to detail and the ability to manage confidential and sensitive information with discretion.

  • Advanced computer literacy, including experience with Microsoft Office, Google Suite, Expense Management systems (CONCUR highly regarded) and workflow or project management tools.
