The Opportunity

Based in Rockingham, WA, we have an exciting opportunity for an experienced Operations Coordinator to join our team.

This is a pivotal support role responsible for providing administrative and customer service assistance to operational teams, ensuring critical data, purchasing activities and customer enquiries are managed accurately and efficiently.

Working closely with Supervisors, Operations Managers and customers, you will play a key role in supporting day-to-day operations through high-volume data entry, regulatory reporting, purchase order management and invoice reconciliation. Your ability to prioritise tasks, maintain attention to detail and build strong working relationships across a blue-collar operational environment will be essential to your success.

No two days will be the same as you work across multiple priorities, support compliance requirements, coordinate customer enquiries and contribute to the smooth running of operational activities.

Key responsibilities include:

  • Accurately process high volumes of waste tracking documentation into DEWAR (Department of Water and Environmental Regulation) systems.
  • Manage customer enquiries and ensure requests are actioned or referred to the appropriate internal stakeholders.
  • Raise, manage and amend purchase orders using company systems, including Coupa.
  • Perform invoice reconciliation and investigate discrepancies where required.
  • Maintain accurate records across multiple systems including DEWAR, Coupa and JDE.
  • Liaise daily with Supervisors, Operations Managers and operational personnel to support business requirements.
  • Ensure all administrative activities are completed accurately and within required timeframes.
  • Prioritise competing tasks and deadlines in a fast-paced operational environment.
  • Support compliance and reporting requirements through effective data management and record keeping.
  • Contribute to a positive safety culture and ensure compliance with company policies and procedures.

About You

We're seeking a highly organised and customer-focused professional who thrives in a busy environment and enjoys working closely with both frontline operational teams and office-based stakeholders.

To be successful, you will bring:

  • Previous experience in an administration, operations support, customer service or coordinator role.
  • Proven experience performing high-volume, accurate data entry.
  • Strong customer service skills and the ability to manage multiple enquiries effectively.
  • Excellent verbal and written communication skills.
  • Strong organisation, planning and time management skills with the ability to balance competing priorities.
  • Exceptional attention to detail and a commitment to accuracy.
  • Confidence building relationships with operational and blue-collar workforces.
  • Intermediate to advanced skills across Microsoft Office and business systems.
  • Experience using Coupa for purchase order management will be highly regarded.
  • Experience with JDE and invoice reconciliation processes will be advantageous.
  • A proactive mindset, strong problem-solving ability and a genuine commitment to teamwork and safety.
