Responsibilities:

  • Be a part of a team in OMU for the day-to day operations and management of office building, facilities, office space planning and events management in AGC
  • Administer the Fixed Assets and Inventories of the AGC.
  • Prepare assets addition and assets retirement approval papers in accordance to Government IM guidelines.
  • Responsible for physical accountability and checks including maintaining and updating of Fixed Assets of office equipment inventories and annual asset stocktaking against the Fixed Asset Register for non-IT assets.
  • Responsible for fixed asset accountability including investigating and accounting to Permanent Secretary for any loss of any non-IT fixed asset.
  • Performs procurement of standard office equipment for the AGC.
  • Ensure proper maintenance and servicing of office equipment within AGC.
  • Monitor the inventory and status of office equipment and review the need to replace if required.
  • Monitor expiry of office equipment contracts and initiate procurement process in accordance to AGC procurement guidelines.
  • Certifying of Multi-Functional Printers (MFPs) monthly leasing and meter reading invoices.
  • Facilitate divisions’ request on all office equipment related matters.
  • Process the necessary application, collection and issuance of Public Key Infrastructure (PKI) Smart Cards and AGC Staff Passes.
  • Roles of Key Manager for AGC in PKI Smart Cards and AGC Staff Passes.
  • Facilitate any other PKI Smart Cards and AGC Staff Passes related matters.
  • Process and facilitate in all physical staff exit clearance for officers leaving AGC, including keeping proper records of clearance forms.
  • Review current Staff Exit Clearance processes and benchmark best practices with other agencies to enhance efficiency in the process.
  • Assists in regular collation of data, compiling of data statistics and conduct data analysis and reporting and collation of documentation for Environmental Sustainability (Eco office and Green Mark certifications).
  • Provides logistical and administrative assistance in office renovation works and relocation projects
  • Performs vendors’ management tasks and putting up proposals for improvement to current work processes and executing strategy plans undertaken by Operations Department.
  • Ensure proper and regular Records Management filing according to National Archives of Singapore (NAS) guidelines.
  • Conducts Goods Receipting duties for AGC where required including generating outstanding invoices for AGC.
  • Ensuring proper verification or rejection of invoices.
  • Seeks quotations and put up approval papers for any miscellaneous ad-hoc purchases required under Operations Department.
  • Performs any other duties assigned by the Operations Department.

Requirements:

  • Qualifications in Business Administration Support or other equivalent.
  • Minimum 3-4 years of related work experience in office administrative functions including procurement and maintenance of office equipment.
  • Familiar with Government Asset Management IM guidelines preferred.
  • Possess good writing and communication skills.
  • Familiar with the use of Microsoft Office applications.
  • Strong team player and ability to work independently.
  • Positive mindset, meticulous, analytical and result oriented.
  • Ability to work in a dynamic and fast paced office environment.
  • Required to travel to and from AGC Office building, AGC satellite offices and other vendors’ offices.

 

All new appointees will be appointed on a two-year contract in the first instance.
