Job Duties:
10%Open and close the library on scheduled days including preparing the the library for business according to established Library procedures. Staff the Library service desk during scheduled hours and days of the week as approved by supervisor. Interact with patrons in person, via telephone, fax, email, USPS mail in an efficient, accurate and courteous manner. Use the integrated library system (ILS) and LibCal Equipment Module for circulation functions. Accept monies for fine and payments according to library policy and procedures. Use electronic databases, the internet, the ILS to answer requests for specific information. Answer reference questions by providing factual information or referring questions to other departments as needed. Interpret and enforce Library policies and procedures. Record Service Desk transactions and other statistics a s needed. Assist users with established procedures, fees, service requests, material availability and equipment according to library procedures. Deal with security issues by reporting breaches in security. Maintain a clean and orderly work environment at the Service Desk. Maintain working knowledge of technology equipment in the Library to provide assistance to library users. Check calendar software (LibCal) daily and accept invitations daily to ensure personal calendar is correctly populated with scheduled meetings and Service Desk shifts. Assist patrons with answering questions submitted via LibAnswers. Maintain working knowledge of other service points to provide assistance if needed. Attend Service Desks meetings, departmental meetings and other library meetings. Attend training sessions on library resources and services.Essential
25%Creates documents. forms and flyers, etc., for RES. Oversees editing of RES documents and publication. Assist with preparing/updating LibGuides. Proofreads own work and that of others for spelling , grammar, and punctuation. Ensure that materials are ordered, printed, or otherwise made ready for distribution.Essential
30%Assist the Research and Educations Services (RES) Informationists with scheduling of classes and any other duties needed. Maintains a master schedule of classes taught by RES. Assist with ensuring availability of materials for instruction sessions. Assist with updating teaching materials as appropriate. Assist with time tracking and other statistics relating to reference and research support services. Maintains department file in Box. Maintains tutorials database and updates as needed.Essential
30%Assist with scheduling meetings and calendar maintenance. Submits all departmental leave slips for the corresponding month to the Associate Director of Libraries for approval. Anticipates and corrects and schedule conflicts. Schedule and attend meetings and take minutes. Send daily reminders of appointments, meetings, etc., as requested. Assist with maintaining travel requests, presentations and publications. Communicates staff absences and schedule changes as appropriate. Provide reliable and efficient office support duties; i.e., updating and maintaining departmental policies and procedures. Assist with preparing travel reimbursement forms. Ensures appropriate meeting facilitation through room reservation and assesses need for audio/visual support, etc.Essential
5%Assume new responsibilities on an as needed basis. Assist with special projects as needed.Essential


Job summary: Under general supervision of the Associate Director, the Administrative Assistant will provide administrative support and assistance with the coordination of research and education initiatives for the Research and Education (RES) Department at the Medical University of South Carolina’s Library.  Duties will include scheduling meetings; providing assistance at the service desk; creating documents, forms and flyers; and maintaining a master schedule of classes taught by RES.

Payscale Salary Range: UNIV-Band 4: $26,988.00 - $38,460.00 - $49,932.00 (min - mid - max)

FLSA: Hourly

Minimum Experience and Training Requirements: A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.
Additional Knowledge, Skills, and Abilities Preferred:  Experience working in a library public service area.
