Job Summary: The Administrative Coordinator will provide support services, including administrative and business management for The Office of Student Programs and Student Diversity. Duties include correspondence, filing, purchasing, and procurement process functions (as needed). Will perform as the administrator for the University Honor Council, including confidential and complex special assignments. Will supervise work-study students.

 

Job Duties: 

  • 30% - Supervise work-study student staff. Recruit, hire, train, schedule, plan the work, and evaluate work-study students. Assist work-study students with professional development planning, as appropriate. Host monthly work-study student meetings to facilitate ongoing training and to discuss upcoming office projects and programs. - (Essential)
  • 25% - Ability to coordinate diverse administrative functions. Plans and coordinates the electronic communication for the Office of Student Programs and Student Diversity. Provides support and serves as the principal liaison between students, staff, other departments, and/or external constituencies on day-to-day operational, administrative and programmatic issues. Facilitates meetings, special projects, and programs organized by the Office of Student Programs and Student Diversity. Coordinate responses to constituents' inquires with prompt and accurate information. Monitors and serves as the administrator of the cash drawer, and ticket sales for program activates. Manager of the cash register (8:30 a.m. to close) and ticket sales. Implements the cash management policies for project events and ensures procedures are followed. Ensures the safe and office doors are secured and procedures for "out of office" communications are activated during the appropriate time (e.g., holidays, special office closures). Provides front-line customer service and conducts administrative functions for the Office of Student Programs and Student Diversity. Work with colleagues and work-study students to maintain the ergonomic functioning of the office. Ensures the accuracy of the information posted on all bulletin boards maintained by the Office of Student Programs and Student Diversity. Monitors all student gathering spaces. Maintains office supplies and orders as needed. Monitors office equipment and necessary resources to ensure office efficiency for staff and work study students. Work with Communications Coordinator and work-study students to post student events and meeting promotional materials around campus. Manage office reservation systems for the SGA Library and equipment check-out. Assist with the oversight and implementation of the hazardous weather evacuation protocol, with the specific responsibility of maintaining the student evacuee database. - (Essential)
  • 20% - Coordinates meetings, manages Maxient system, schedules yearly training and orientation for students and faculty, and schedules the annual review of the University Honor Council policy. Arranges stenographer for Formal Hearing meeting and coordinates billing with the appropriate college. Informs colleges and sends emails to colleges regarding Honor Council policy and election updates. Maintains Honor Council calendar, confidential database, and website. Provides annual reports regarding education and training of the council, colleges, cases, policy updates, and election outcomes. - (Essential)
  • 15% - Responsible for knowing the University's purchasing policies and guidelines. Work with the Administrative Coordinator to enter purchased goods, services, and supplies in the University Management System (UMS) and Marketplace systems. Monitor the purchases of all credit card charges and other purchases per the established procurement guidelines. Coordinate with MUSC Procurement and Accounts Payable to make timely payments to external vendors/MUSC departments. - (Essential)
  • 10% - Coordinate and implement all office programs and special events; this includes but is not limited to event set-up, meal planning, preparation of printed materials, ticket sales, and contracting/coordinating outside vendor/event support. Supervise on- and off-campus admissions logistics for office programming (e.g., major SGA programs, Student Diversity Mixers, etc.). - (Essential)

 

Preferred Experience & Additional Skills: 

 

A high school diploma and four years relevant experience in business management, public administration, or administrative services; or (preferred) a bachelor's degree and two years experience in business management, public administration, or administrative services.
