Job description:
Provide high level executive, administrative and support services to the Tasmanian Museum and Art Gallery (TMAG) Director, TMAG Executive Management Group, and TMAG Board of Trustees in an environment of continuous improvement. As the primary point of contact for the Director’s office and Trustees, support the efficient and effective delivery of key TMAG-wide activities and processes. Duties
- Be the primary point of contact for all internal and key external stakeholders for the office of the Director of TMAG and the TMAG Board of Trustees.
- Provide high-quality and confidential administrative support for the TMAG Director, TMAG Executive Management team, the TMAG Board of Trustees and Board sub-committees including coordinating and distributing meeting materials, minuting meetings and preparing correspondence.
- Provide high level administrative and executive support to the TMAG Director with a particular focus on coordinating, monitoring and, managing information as well as undertaking other duties to support the efficient operation of TMAG.
- Manage the flow of information within the Office of the TMAG Director, including initiating and timely preparing highly confidential documents such as Ministerial correspondence, Estimates Committee briefings, reports, and referring matters for comment or further action to the appropriate TMAG Chief Operating Officer, Deputy Director or Manager.
- Provide key coordination and support for the annual Budget Estimates processes for TMAG.
- Organise and schedule the TMAG Director’s work schedule, meetings, and other appointments, including arranging corporate functions, travel, accommodation, and itineraries as required. Attend meetings, prepare agendas, and take minutes during meetings.
- Act as the first point of contact for telephone and personal inquiries to the Director’s Office and, when appropriate, referrals to the appropriate officers in the business unit.
- Provide clerical advice and support to the TMAG Board of Trustees and Board sub-committees, TMAG executive and other TMAG staff relating to work practices and procedures.
- Work closely with the TMAG Executive to manage the TMAG Director’s relationship with TMAG support groups, donors/supporters and attendance at fundraising events.
- Prepare and proof a variety of written material for the TMAG Director, including routine correspondence, ministerial documents, agendas, papers and minutes.
