Job description:

Technology and Innovation as part of the Department of Police, Fire and Emergency Management (DPFEM) is responsible for the administration and contract management of various commercial arrangements for technology based systems used to support operational activities by emergency services organisations. The operation and maintenance of these commercial arrangements is provided by various suppliers under a range of Service Agreements. The objective of this position is to assist with the administration and contract management support whilst also supporting current and future projects. This position will assist with the administration of these key contracts across a diverse range of supply and support services.

Duties

  • Provide high level administrative support to members of the unit including the timely preparation of correspondence, development and maintenance of databases, taking minutes and action items at various meetings and maintaining records and documentation.
  • Provide executive support to Governance and Committee groups within the department. Ensure the timely coordination, preparation and distribution of supporting materials. Following up on outstanding actions and related  documents.
  • Undertake finance tasks using Finance One including procurement of supplies, invoicing, and billing and prepare basic reports on expenditure to the Manager, as required. Check supplier invoices against the various contracts for services.
  • Undertake activities to assist with the support of DPFEM’s contract management system and other related applications to ensure information is accurately updated and actions  are completed in an efficient and timely manner
  • Work closely with internal and external stakeholders within the framework of contractual agreements. Consult, liaise, and negotiate with internal and external stakeholders to ensure contractual arrangements are met.  Raise concerns with management where necessary. 
  • Provide options and recommendations to solve operational issues and maintain effective working relationships with representatives. Assist in the monitoring and tracking of service level agreements, as required.
  • Provide basic project management support to the unit such as maintaining project documentation, updating of risk and issue registers, action lists, preparing status reports and monitoring tasks and timelines.
  • Operate as a member of a team in a multi-agency environment undertaking duties as assigned by the Manager.

Essential Requirements

  • False alarm raising. 

Desirable Requirements

Suitable knowledge and experience  together with relevant qualifications preferably  at Diploma or Advanced Diploma  level.
