Job description:

The role acts as a key liaison between external partners and internal stakeholders, facilitating seamless visitor arrangements, stakeholder engagement, and operational support to meet organisational and partner expectations.

This role is to provide high level customer service, information & documentation, advice and booking services for education & trade partners of Port Arthur Historic Site Management Authority. The incumbent will coordinate activities and programs for trade and education groups, including catering, to ensure outstanding experiences are delivered and expectations of our partners are met. The Incumbent will need to liaise regularly with Learning and Public Programs Manager and Visitor Services Manager.

Key Focus Areas / Deliverables (Statement of Duties)

  1. Monitor Trade & Education email and manage enquiries, bookings and amendments, including sending appropriate information as required (such as rate sheets, tour & catering information)
  2. Liaise with teachers and education travel agents and provide expert advice on education programs and how to make the most of their visit.
  3. Liaise and coordinate with internal stakeholders to maintain a positive, collaborative, professional, and quality experience for education, trade & groups, including provide information to finance re invoicing, and produce visitation reports and administrative support as required
  4. Be the point of contact for trade agents to set up and manage access to PAHSMA’s digital systems/ Agent Portal, includes liaising with PAHSMA digital team.
  5. Ability to think clearly, communicate effectively, and escalate enquiries to others in PAHSMA such as Finance, Education and Tourism Managers.
  6. Participate in a respectful, supportive and high-performance workplace culture across PAHSMA that encourages people to connect and thrive in the workplace.
  7. Other duties as required.

Capabilities & Attributes (Selection Criteria)

  1. Proven experience in the delivery of visitor information and excellent customer service skills.
  2. Ability to communicate clearly and effectively and develop good working relationships with both internal and external stakeholders.
  3. Good attention to detail and organisational skills as well as the ability be adaptable and flexible, manage variable workloads and to prioritise work to meet deadlines.
  4. The ability to work either independently, in accordance with policies & procedures and as a member of a team in the workplace.
  5. The capacity to understand and solve problems by referring to established procedures and to make timely and accurate decisions relating to all duties.
  6. Knowledge and experience in reservation system used by PAHSMA including the ability to account for and reconcile bookings and produce reports as required.
  7. Excellent knowledge and awareness of the experiences offered at our sites.

Essential Requirements

Nil

Desirable Attributes

2 years’ experience in using PAHSMAs reservation systems and procedures; and a deep understanding of all tours and experiences offered by PAHSMA
