Job description:

The role acts as a key liaison between external partners and internal stakeholders, facilitating seamless visitor arrangements, stakeholder engagement, and operational support to meet organisational and partner expectations.

The Trade Bookings Officer is PAHSMA’s primary point of contact for trade partners. The role manages partner relationships and coordinates trade bookings, account enquiries, reporting, system access and stakeholder communications to support seamless visitor experiences, visitation growth and revenue objectives.

Key Focus Areas / Deliverables (Statement of Duties)

Work is performed under general direction to achieve the required outcomes. Within the scope of the role, flexibility, innovation and initiative are expected in providing alternative solutions to operational issues and challenges.

  • Act as the primary point of contact for trade partners, managing account enquiries, bookings, and relationship management.
  • Develop, maintain, and strengthen relationships with trade partners to support visitation growth and commercial outcomes.
  • Monitor and respond to enquiries from trade partners and internal stakeholders in a timely and professional manner.
  • Coordinate end-to-end trade bookings, including confirmations, amendments, cancellations, and associated visitor experiences.
  • Liaise with operational, finance, and other internal teams to ensure the accurate coordination of bookings, invoicing, and service delivery.
  • Manage trade partner access to booking systems, agent portals, and other digital platforms, including liaison with digital support teams as required.
  • Maintain accurate booking records, databases, account information, filing systems, and supporting documentation.
  • Prepare and analyse booking, visitation, and trade performance reports, ensuring data integrity and monitoring performance against key performance indicators.
  • Research and interpret booking and visitation trends to identify opportunities for business improvement, increased visitation, and enhanced partner engagement.
  • Represent PAHSMA at industry meetings, trade events, familiarisation programs, and stakeholder engagements, and contribute to project working groups and organisational initiatives as required.

Capabilities & Attributes (Selection Criteria)

  1. Experience in account management, customer service, or stakeholder relationship management.
  2. Well-developed communication and interpersonal skills, with the ability to build productive relationships with internal and external stakeholders.
  3. Strong organisational skills and attention to detail, with the ability to manage competing priorities and meet deadlines.
  4. Ability to work independently, exercise sound judgement, and contribute effectively as part of a team.
  5. Experience using ticketing, reservation, booking, customer relationships, or similar business systems, together with proficiency in Microsoft Office applications (Excel, Outlook, Word, Teams).
  6. Ability to prepare reports and interpret business data.

Desirable Requirements

    • Experience in tourism, hospitality, visitor attractions, account management, sales, or business development.
    • Experience working with trade distribution channels and industry partners.
    • Current driver's licence.
