Position Summary:

The Coordinator plays an important role on The Rollins Annual Fund team, working to increase total funds raised and total number of donors each year. The Coordinator is responsible for managing general annual giving operations, coordinating fundraising efforts for the athletics department and varsity teams, and supporting the overall mission and activities of the office. The Rollins Annual Fund office educates alumni, parents, and current students about the importance of current dollars to the operation of the College and provides opportunities and encouragement for constituents to maintain and increase annual fund dollars and participation.

Reporting to the Director of the Rollins Annual Fund, the Coordinator works alongside Annual Giving and Advancement staff, College colleagues and external constituents to develop, support and maintain programs and activities consistent with securing annual philanthropic support for the College.

Manage annual giving operations:

  • Work with the Rollins Annual Fund staff and Advancement Services staff to pull and prepare data/lists to ensure accuracy and integrity of direct mail and email marketing data for solicitations and stewardship communications.
  • Monitor, analyze and report results from solicitation and stewardship efforts.
  • Build and maintain online giving pages using iModules.
  • Respond to inquiries from alumni, parents, and other constituents made through The Rollins Annual Fund phone and/or email account in a timely manner.
  • Under the guidance of the director, process invoices, monitor and maintain budget records, prepare budget reports, and handle expense reports.
  • Supervise student workers.

Athletics Fundraising:

  • Communicate regularly with the Director of the Rollins Annual Fund, AVP for Development and Athletic Director to discuss athletic program needs within Rollins Annual Fund priorities.
  • Provide weekly gift reports for coaches and encourage them to thank donors personally.
  • Assist coordination of the annual athletics phonathon.
  • Support the Assistant Director of Annual Giving Communications, in the creation and execution of special direct mail initiatives for athletics.

Support the annual giving team’s overall goals:

  • Remain current on trends, strategies, and services offered by other institutions, specifically those focused on annual fundraising solicitation and annual fundraising efforts and programs supporting Division II Athletics.
  • Assist the Director and Assistant Directors with other programs and projects as needed.
  • Act as a team player and communicate program information within the Institutional Advancement Division and with college constituencies.
  • Represent Rollins Annual Fund staff and provide support for division-wide projects.
  • Assist with Institutional Advancement events to include Alumni Weekend and Spring Parent’s Forum.
  • Other duties as assigned.

Education and Experience Required

 

  • Bachelor’s degree.
  • Requires three years of job-related experience.
  • Experience in higher education and/or non-profit organization is preferred.
  • Preference to applicants with first-hand Rollins knowledge or experience.
  • Proficiency in Microsoft Office, ability to learn and utilize Ellucian Banner database, Argos reporting, iModules, and other technology/systems.
  • An aptitude for numbers, data, and analysis is essential. Strong Excel and data analytics skills necessary to support team in preparing data for solicitations and stewardship programs, and monitoring, analyzing and reporting results. Attention to detail and commitment to accuracy are crucial.
  • Strong project management and organizational skills; detail-oriented; ability to set and balance multiple priorities, and manage time effectively in a deadline-driven environment.
  • Excellent interpersonal, verbal, and written communication skills; thorough knowledge of business English, spelling, and grammar.
  • Given the extensive independent contact with external constituents including alumni and parents, volunteers, donors, trustees and College officials, this position also requires good judgment, and complete discretion regarding the handling and storing of confidential data. 
  • Willingness to work in a team-oriented environment and ability to work collaboratively with alumni as well as Rollins faculty, administrators, and staff. Flexibility and strong customer service skills are critical for frequent interaction with donors and volunteers. 
  • Must be willing to work occasional evenings and weekends for Advancement events throughout the year, including Alumni Weekend, Spring Parents Forum, and Alumni Association Board of Directors meetings.
