Position Summary

The Department of Biomedical Engineering (BME) is seeking a proactive and detail-oriented Academic Program Coordinator to support all aspects of the graduate program. This position serves as the central point of contact for prospective and current students, faculty, and external partners, and plays a key role in enhancing the student experience from admission through graduation.

This individual must be able to work independently in a fast-paced environment, exercise sound judgment, maintain confidentiality, and present creative solutions. They must also be flexible, prioritize and manage multiple tasks, and demonstrate a commitment to inclusive excellence and professionalism.

Hybrid Work

The College of Engineering embraces a hybrid work model, offering flexibility for both in-person presence and remote work. This arrangement is designed to align with the specific job duties and responsibilities of the role, allowing for a schedule that balances remote work opportunities with departmental needs, based on mutual agreement with their supervisor.

 Responsibilities:

Graduate Program Administrative Support

  • Coordinate recruitment, admissions, and graduate hiring processes
  • Manage academic progress tracking and graduation
  • Maintain academic and personnel records for graduate students
  • Process fellowships, retrieve and compile application files, and create reports
  • Coordinate graduate program events
  • Develop and update student handbooks and website content
  • Produce various reports and analyze data to support program decisions
  • Serve on the graduate recruitment team and attend on- and off-campus events
  • Initiate electronic documents in EBS; maintain Campus Solutions records
  • Organize and attend recruitment events
  • Communicate with prospective students regarding program opportunities and admissions
  • Ensure accurate and timely follow-up on applications and inquiries

 Travel

  • Responsible for department travel support for profiled and non-profiled travelers traveling on MSU business
  • Inform travelers of University travel policies and procedures, and any changes that occur
  • Assist faculty, staff, students, and non-profiled travelers with travel requests
    • booking flights/motor pool
  • Process/assist with Travel expense reports in Concur.

 Event Planning/Coordination

  • Coordinate commencement activities
  • Seminars/Lectures
    • Create promotional materials, including flyers and communications
    • Coordinate travel arrangements
  • Schedule meetings and reserve spaces (via 25Live)
  • Support departmental and graduate committees (logistics)

Departmental Support

  • Create and maintain standard operating procedures (SOPs)

Other Duties as Assigned

Minimum Requirements

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a related field which corresponds to the area of employment; one to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; or an equivalent combination of education and experience.

  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and web-based platforms such as Campus Solutions, Slate, EBS, D2L, Registrar’s Office Forms, and 25Live
  • Familiarity with graduate student hiring processes and systems
  • Excellent communication, decision-making, and customer service skills
  • Ability to manage multiple deadlines, prioritize tasks, and work under pressure
  • Strong attention to detail, initiative, and adaptability
  • Demonstrated professionalism and discretion
