Position Summary

The Clinic Manager plays a pivotal role in championing excellence in patient care, fostering a culture of wellness, and driving transformative change within the clinic setting.  This role entails overseeing clinic operations, clinical care quality, financial stewardship, human resources management, and information systems with a focus on innovation, continuous improvement, and quality assurance.  The Clinic Manager acts as a change agent, inspiring a collaborative culture that aligns with organizational goals for patient-centered care and operational efficiency.  

Responsibilities: 

Clinical Care Management:

  • Lead and continuously improve patient care delivery, prioritizing safety, efficacy, and compassionate service. 
  • Utilize quality improvement tools (e.g., fill rates, schedules, patient volume metrics) to identify and act on opportunities for process enhancement, ensuring effective and quality patient care. 
  • Engage with patient feedback mechanisms (e.g., NPS, surveys) to drive meaningful change, actively fostering a culture that values patient-centered care and wellness. 
  • Champion the use of evidence-based practices to enhance care quality and align with organizational care standards.  

Leadership and Culture:

  • Acts as a catalyst for transformation by promoting a culture of wellness, open communication, and shared purpose across the clinic team of greater than 10 members. 
  • Empower staff through continuous development, clear expectations, and opportunities for leadership within their roles. 
  • Collaborate with interdepartmental teams to share knowledge and resources, support clinic goals and broader organizational objectives.  
  • Drive a supportive environment for change, encouraging staff engagement and shared accountability for clinical success and patient outcomes.  
  • Clinic is typically broader scope of care, including specialty services.

Financial Management:

  • Collaborate in the development of budgets and oversee financial operations, ensuring resources are utilized effectively and aligned with patient care goals.  
  • Implement best financial practices and hold staff accountable to budgetary expectations, promoting a culture of fiscal responsibility. 
  • Oversee purchasing and inventory management to support patient care needs and operational sustainability.  

Human Resources Management:

  • Drive recruitment, on-boarding and ongoing training initiatives with an emphasis on creating a supportive, engaged team culture. 
  • Promote staff well-being and engagement through regular recognition, team-building activities, and mentorship, fostering a work environment that values staff wellness and growth. 
  • Ensure appropriate staffing and scheduling to support clinic operations, maintaining flexibility to adapt to evolving patient care needs. 
  • Ensure timely and accurate employee timekeeping and approval.  

Information Management: 

  • Understand health information and billing systems to maintain efficiency, accuracy, and compliance with privacy regulations (e.g., HIPAA)  
  • Conduct and participate in audits to reduce risks, ensuring adherence to clinical policies and quality standards.  
  • Actively support data-driven decision-making to improve clinic operations and patient outcomes. 

Additional Responsibilities:

  • Support efforts in emergency preparedness and response, ensuring that clinic staff are equipped to handle a variety of scenarios.  
  • Collaborate in innovative strategies to enhance patient engagement and improve clinic services, contribution to the clinic’s reputation and success.  
  • Ensure timely maintenance and repairs of clinical equipment as needed. 
  • Participate in community outreach and marketing initiatives to build strong relationships and promote a positive public image for the clinic and the organization. 

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business or Healthcare Administration or a related field; three to five years of related and progressively more responsible or expansive work experience in a medical clinic practice, ambulatory setting or health facility involving physician practice, including experience in management and supervision; or an equivalent combination of education and experience.

Summary of Physical Demands

The job requires significant physical effort and involves carrying charts and medical equipment, assisting in ambulating and lifting patients and viewing a CRT screen more than 75% of the time.

Summary of Health Risks

Exposure to human blood, serum, and other body fluids; and materials covered under Universal Precautions; TB risk or work within three (3) feet of patients in a health care setting; wear a respirator.
