Position Summary
This entry-level role provides essential administrative and clerical support to ensure the smooth daily operations of all departmental workspaces, including offices, classrooms, meeting rooms, and shared resource areas. The position requires strong organizational skills, attention to detail, and a commitment to maintaining clean, orderly, and functional environments. Responsibilities include handling routine office procedures, maintaining files and inventories, coordinating communications, assisting with departmental tasks and events, and supporting faculty, staff, students, and guests across various departmental settings.
Minimum Requirements
Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; and may require knowledge of technical or medical terminology and/or technical training related to the field of employment; may require bilingual abilities in a specific language; or an equivalent combination of education and experience.
Desired Qualifications
An organized, reliable, detail-oriented, and professional individual with strong communication and the ability to prioritize tasks and meet deadlines efficiently. Candidates should have one to three years of related experience in an office or administrative support setting, or an equivalent combination of education and experience. Accuracy in word processing, scheduling, typing, and filing is essential.

- Strong interpersonal abilities with excellent verbal and written communication skills to effectively communicate with students, staff, faculty, administrators, and the public.
- Self-motivated with refined organizational skills.

Required Application Materials
- Participate in the development and revisions of program mission, vision, goals, meetings, and ongoing program evaluation activities
- Participate in accreditation activities
- Organizes routine office procedures, performs secretarial tasks for faculty and staff, and maintains departmental files
- Maintains the departmental task calendar to ensure deadlines are met and activities are completed as scheduled
- Prepares and edits documents to support departmental operations and individual projects
- Assists with faculty and committee meetings by preparing agendas, recording minutes, compiling data, and supporting faculty and guest speakers during the didactic year, including exam proctoring and lecture setup
- Assists with recording, editing, and uploading lectures to MSU MediaSpace in accordance with departmental standards, and develops proficiency with classroom technology to support faculty and guest speakers under the direction of the Curriculum Assistant
- Supports academic programs by assisting faculty, proctoring exams, communicating with students, and managing curriculum data
- Assists the department creating IT service requests for computer-related issues and problems
- Maintains key logs, tracks technology inventory, and coordinates building services to support departmental physical resources; provides biannual reports to the program director and fiscal officer
- Maintains supply inventories, organizes the swag room and office space, and coordinates incoming and outgoing mail and packages
- Other duties as assigned.
