Position Summary
The Office of Total Rewards is seeking a detail-oriented and organized Office Assistant III to join our Leaves Team. This role plays a critical part in supporting the university’s Workers’ Compensation and Leaves processes by managing billing, maintaining compliance records, collaborating with third-party vendors, and providing administrative support to ensure smooth operations.
Salary
The salary range for this position is fixed at $24.04/hr – $26.56/hr. Final compensation will be determined based on relevant experience within this range.
Remote work capability
This position is based in East Lansing, Michigan, on the campus of Michigan State University. This position is required to be onsite 5 days per week during the training period. At the conclusion of the training period, an option for 1-2 remote days per week may be granted. All work schedules are assessed for impact to the work outcomes of the individual, team, and department – and must be pre-approved by the supervisor.

Specific Duties and Responsibilities
- Billing & Payment Processing (40%)
Prepare and image medical bills for third-party vendor payment. Enter payments into DXC Assure Claims and export files to KFS. Distribute Explanation of Benefits (EOBs) and checks to employees, departments, and vendors while maintaining audit-ready records.
- Claims Management & Data Entry (30%)
Open and process office mail, match invoices to corresponding claims, and perform data entry in DXC Assure Claims. Review and analyze claims for accuracy and compensability. Prepare files for closure and imaging.
- Vendor & Third-Party Coordination (15%)
Collaborate with vendors and third parties to resolve billing discrepancies, missing bills, and payment issues.
- Reporting & Compliance (10%)
Generate bi-weekly, monthly, and quarterly reports for Workers’ Compensation, FMLA, and LTD using EBS Query Manager, DXC Assure Claims, and AbsenceSoft. Maintain OSHA and non-OSHA logs for state and federal compliance.
- Additional Support (5%)
Assist analysts with LTD applications and related EBS processing. Perform other duties as assigned.
Minimum Requirements
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in a comparable human resources field; or an equivalent combination of education and experience.
Desired Qualifications
A Bachelors Degree in Human Resources Administration, Labor and Industrial Relations, or a related field; experience with medical billing; knowledge of Michigan Worker’s Compensation Act Health Care Service Rules, DXC Assure Claims Software, AbsenceSoft, Microsoft Office, Outlook, and web-based financial systems.
