Position Summary(Basic Job Function)

This a temporary or on-call position. Provides clerical support. Responsibilities may include secretarial, receptionist, bookkeeping, information processing or related clerical tasks. Temps On-Campus: includes College of Human Medicine, the College of Osteopathic Medicine at Detroit Medical Center, and the College of Osteopathic Medicine at Macomb University CenterTerm. On campus temps can work six (6) months then terminate for three (3) months or switch to an oncall. Off campus temps can continuously work nine(9) month appointment with a one (1) week break in between. On-Call allowed to work up to 40 hours/week for three (3) months then must be moved down to 19 hours/week and cannot work more than 520 hours in any six (6) month period.

Unit Position Summary

Join the MSU Human Resources Solutions Center and help deliver service excellence to faculty, staff, and retirees. As the department’s front counter support, you’ll provide high-quality support while shaping a positive HR experience. Ideal candidates are passionate about creating positive customer experiences and thrive in a people-first, customer-centric setting. This role involves interacting positively with customers as the front counter support for all visitors to HR. You will serve as the gateway to guests' memorable experiences, embodying MSU HR's commitment to high-quality service as a knowledgeable and reliable resource.

 

This position is based in East Lansing, Michigan, on the campus of Michigan State University, and has fully onsite work requirements (M-F, 8a-5p, in-person).

Essential Duties and Responsibilities

 

  • Manage front desk and reception operations by professionally welcoming and assisting all visitors, handling deliveries, forms, and payments, and creating a friendly, service-oriented environment.

 

  • Serve as the first point of contact for walk-in customers, identifying needs, coordinating referrals to appropriate HR or Benefits staff, and managing routine drop-in requests such as password resets, earnings statement access, job searches, and retirement materials.

 

  • Accurately document customer interactions and escalate complex inquiries to the appropriate teams to ensure timely and effective resolution. Process and manage administrative documents by accepting, date-stamping, filing, and accurately organizing forms.

 

  • Assist customers with form-related questions and refer them to appropriate teams as needed.

 

  • Handle checks and invoices for Benefits Administration by securely date-stamping, sealing, and issuing receipt copies, and escalate payment-related inquiries when necessary.

 

  • Support communication by routing messages and notifying staff and provide basic guidance for employee concerns.

 

Desired Qualifications

The ideal candidate will have:

  • Six months of experience providing customer service in an office setting; is customer-centric, enthusiastic, and friendly, and has a talent for effectively diffusing and redirecting customer concerns.
  • Possesses exceptional communication skills (verbal, nonverbal, and active listening), along with the ability to deliver accurate, concise, and compassionate messages.
  • Is a quick learner who consistently provides timely, efficient support.
  • Displays strong task prioritization and time management and is dedicated to ensuring each customer’s satisfaction through a professional, positive approach.
