Position Summary
The Assistant Dining Service Manager for Scheduling is responsible for creation and maintenance of schedules for all Residential Dining halls and designated Sparty’s operations within the neighborhood. Their primary focus is on scheduling full-time, student and on-call team members and approving time off requests while still ensuring floor coverage. Clear, consistent, and professional communication skills are essential for success.
- Scheduling Expectations
- Full Time and Temporary Workers
- Respond to requests for ‘scheduled’ time off within three working days.
- Complete and submit Supervisor Report to Payroll forms for all scheduled time off.
- E-mail and post schedules two weeks prior to the start of the week.
- Offer overtime through Ultra Time for all scheduled time off.
- Student and On-Call Workers
- Build schedule shells in Ultra Time for Dining Halls and Sparty’s locations.
- Collaborate with HR Coordinator to ensure new hires are given a schedule at the end of their orientation, or the following day.
- Implement procedure for schedule change requests and communicate to team.
- View and manage Swap Board a minimum of once per week – assist with recruiting substitutions to provide coverage.
- Prepare weekly ‘Percent Tracking’ sheets and use them to balance schedules.
- Coordinate with HR Coordinator to recruit and hire for specific shifts that may be open.
- Administrative Responsibilities
- Print and post Equalization of Overtime report monthly.
- Assist Operations Managers with daily overtime needs and payroll reconciliation.
- Oversight of Receptionist Position
- Ensure call-ins are recorded properly.
- Assign receptionists to call for coverage when shifts will be shorthanded.
- Floor Supervision and Training
- Ensure workplace safety, sanitation and food handling standards are met.
- Train and direct team to Deliver Outstanding Spartan Experiences.
- Walk through operations daily, communicating with managers and team members.
- Assist in dining room or venues as needed.
- Human Resources
- Complete and document bi-weekly one on one meetings and annual evaluations with direct reports.
- Provide staff development opportunities for direct reports through cross training, class attendance and annual compliance completion.
- Handle disciplinary action under guidance of Manager; to include coaching and counseling, documentation of conversations and issuance of attendance letters and discipline as assigned.
All positions in RHS are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Hotel Restaurant and Institutions Management, Business Administration, Dietetics, Food Systems and Economics Management or Nutrition; one to three years of related and progressively more responsible or expansive work experience in customer relations, food service practices, sanitation and safety procedures, familiarity with food preparation equipment, accounting skills and supervisory and managerial experience; or an equivalent combination of education and experience.
