Position Summary

This position is responsible for overseeing the operational, technical, administrative, and financial functions of a research-focused facility. This role ensures the effective maintenance and upkeep of the building and its infrastructure, manages facility operations and vendor coordination, and supports scientific research through specialized logistical, procurement, and facility related services. The position provides direct supervision to assigned staff and plays a critical role in fostering a safe, efficient, and productive environment for research and educational activities and related services. Success in this role requires strong organizational skills, proficiency in facility operations and maintenance processes, sound judgment, effective communication, and the ability to manage multiple responsibilities with a high degree of independence. The position requires consistent office presence five days per week, along with on-call availability to address facility emergencies as needed. 

The role works both independently and collaboratively with MSU St. Andrews team members and partners across the university. Frequent internal interactions include scientific staff, Finance, Human Resources, MSU Extension, and 4H. External partners include contractors, vendors, MSU Police, the Midland Fire Department, and logistics providers involved in domestic and international shipments. This position reports to the Associate Vice President for Innovation and Economic Development. This position is a one year, end dated position with the potential for extension.  

Duties and Responsibilities 

Administration -15% 

  • Coordinate and support event planning and execution of events 

  • Co-facilitate the Summer Research Program, including participant recruitment, onboarding, and engagement 

  • Conduct building tours for visitors, guests, and new staff 

  • Participate in management and leadership development training 

  • Serve as a member of search committees to support recruitment of new staff 

New Business Development – 15 % 

  • Develop and implement communication strategies (web, advertising, outreach) to attract new clients 

  • Utilize networking, industry events, marketing activities to expand client engagement and secure potential projects 

  • Arrange meetings with prospective clients, build rapport, address client objectives 

  • Collaborate with scientific staff and external partners to attract and cultivate new research projects 

 

Facility Operations and Maintenance -30% 

  • Oversee maintenance, repair, and refurbishment of building equipment and site infrastructure 

  • Collaborate with MSU IT to configure and maintain internet access points and troubleshoot connectivity issues 

  • Assist staff with ordering or identifying compliant software solutions 

  • Serve as the primary point of contact for facility-related concerns, issues and support needs  

  • Manage and coordinate all contractual work associated with facility operations and improvement projects 

  • Collaborate with MSU Police to ensure security and safety protocols 

  • Partner with scientific staff to support the design and construction of specialized research apparatus and equipment 

  • Coordinate domestic and international shipments on behalf of scientific staff to ensure proper handling and compliance. 

Finance/Procurement -20% 

  • Manage invoicing for contract research activities 

  • Develop and maintain Project Development proposals for contract research 

  • Prepare and monitor budgets associated with contractual agreements 

  • Collaborate with Finance on budgeting, reporting, and ensuring financial compliance 

  • Identify opportunities for cost savings and implement financial efficiency improvements 

  • Process billing and invoices related to facility operations and services 

  • Monitor, purchase, update the annual asset inventory report  

  • Order equipment, chemicals and supplies to support scientific activities and facility operations 

Supervision -20% 

  • Provide direct supervision and oversight of assigned staff 

  • Offer ongoing coaching, feedback and support to promote professional growth and performance 

  • Monitor and approve employee work hours 

  • Conduct annual performance evaluations in alignment with university standards 

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in facilities management, business management or science; three to five years of related and progressively more responsible or expansive work experience in facilities management and building operations; experience with building management systems; knowledge of building operations and support; and experience with accounting and financial analysis; or an equivalent combination of education and experience. The job requires managing and administering scientific laboratories and buildings or a facility related to the area of employment.

Skill Set Requirements 
  • Technical Skills: Proficiency with use of a computer, MS Office suite, adaptability to learn and master university financial and information systems.  Ability to diagnose issues with building infrastructure. 
  • Soft Skills: Organizational skills, collaboration, effective communication, problem-solving, adaptability, proficiency in facility operations and maintenance processes, motivation, time management.  
  • Experience: Five to eight years of related and progressively more responsible and expansive work experience in facility and business management. 
  • Other Qualifications: This position partners with Environmental Health and Safety and the Midland Fire Department for routine training and inspection to ensure the building is up to code.
