Position Summary
The Office of Research Regulatory Support (ORRS) seeks an energetic, engaged, and hard-working individual to support the Associate Vice President (AVP). The ideal candidate will be flexible and enthusiastic, possess a consistent level of excellent communication and customer service skills while enjoying a fast-paced environment. The work of this individual must be done with a high degree of accuracy while under pressure. This position will be able to independently prioritize tasks that require immediate attention. This will provide a wide range of support services including but not limited to:
40% – Project & Operational Coordination
- Lead coordination of office operations and administrative infrastructure to ensure seamless day‑to‑day functioning.
- Maintain and enhance metrics, reporting frameworks, and operational dashboards that support executive decision‑making.
- Support development, implementation, and communication of organizational guidelines, policies, and process standards.
- Oversee scheduling, documentation, and cross‑functional coordination for regulatory certification programs and compliance initiatives.
30% – Executive & Strategic Calendar Management
- Manage complex executive calendars with a strategic lens, ensuring alignment with organizational priorities and leadership objectives.
- Coordinate high‑impact meetings, briefings, and engagements, proactively anticipating needs and preparing materials.
- Serve as a key liaison across internal and external stakeholders to optimize executive time and workflow.
20% – Communications & Reporting
- Draft, refine, and distribute executive‑level communications, summaries, and briefing materials.
- Prepare reports, presentations, and updates that support leadership visibility and organizational alignment.
- Ensure consistent messaging and documentation across teams and initiatives.
10% – Facilities, Building & Operational Support
- Support building operations, facilities coordination, and vendor relationships to maintain an efficient and professional work environment.
- Assist with space planning, office logistics, and operational readiness for onsite activities and events.
Minimum Requirements
High school diploma or equivalent, with strong proficiency in written communication, grammar, and digital productivity tools.
Ability to draft, edit, and format professional correspondence and documents.
Five to eight years of progressively responsible administrative or operational support experience, ideally within a university or similarly complex organization.
Demonstrated ability to handle increasing levels of responsibility, multitask effectively, and manage confidential information with discretion.
Strong written and verbal communication abilities.
Ability to capture and summarize information accurately, whether through note‑taking, transcription, or structured documentation.
Or an equivalent combination of education an experience.
Desired Qualifications
Bachelor's degree or equivalent combination of education and experience.
Experience supporting leadership through document preparation, meeting coordination, and workflow management.
Experience in project coordination, research administration, operations, or related area.
Demonstrated ability to compile and analyze data.
Advanced experience with office software, including word processing, spreadsheets, databases, and presentation tools.
