Position Summary
The Academic Program Coordinator serves as the primary point of contact for graduate students, providing advising on academic policies, employment, funding and award disbursements, managing records, admissions processes, and graduation. This role acts as a vital liaison between students, faculty, College of Social Science, and the Graduate School.
Responsibilities:
- Assists the Graduate Program Director by providing guidance and direction related to college, graduate school, and university policies.
- Serves as a liaison with University Admissions Office, the Registrar’s Office, the Graduate School, and the College of Social Science and acts as a resource person for students, faculty, and staff regarding policies and procedures.
- Attends College, Graduate School, and University related trainings.
- Oversees general office operations in the graduate office and performs a wide variety of clerical and administrative tasks for the department, such as:
- Handles class permissions/overrides and assists with independent study course applications and process.
- Maintains confidential academic and personnel files and graduate student database(s).
- Provides graduate updates to department communications for events, website material, social media, and newsletter.
- Proctor student exams.
- Compiles department statistics and prepares a variety of reports such as:
- Completes student degree audits.
- Assists with updating the Graduate Manual annually with the Graduate Program Director.
- Assists with preparation of the program annual report to the college.
- Maintains and initiates records of funding awarded to students for assistantships and conference and research fellowships.
- Oversees and assists with the PhD admissions process:
- Compiles student materials for the admissions decisions.
- Prepares student admission recommendation packages.
- Assists with the enrollment process.
- Graduate Student Employment and Program Annual Review
- Assists with the graduate assistantship selection process and relaying GEU. requirements to faculty and students.
- Process graduate assistantships by semester (Fall, Spring, and Summer).
- Ensures department forms are completed timely and accurately by faculty and students.
- Performs and assist with other duties as assigned.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a higher education related field; one to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; or an equivalent combination of education and experience.
Desired Qualifications
Experience:
Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, SharePoint, OneDrive, Power Automate) and Adobe Acrobat; database management experience; working knowledge of MSU financial and student records systems such as Campus Solutions, Student Information System (SIS), Grad Plan, Enterprise Business System (EBS), HR/Payroll Systems (SAP), Kuali Financial System (KFS), eGradFel, and SLATE Graduate Admissions; working knowledge of MSU policies and procedures including GEU contract; knowledge of university travel and purchasing systems.
Skills:
Detail-oriented; ability to handle multiple tasks at the same time; ability to work independently; organize and multi-task with attention to detail and accuracy; work with interruptions; coordinate multiple projects and committees with deadlines; excellent written and verbal communication skills; excellence in collaborating with others.
