Position Summary

This position will manage a wide variety of tasks and specific duties for the College of Social Science Student Affairs Office by supporting the daily operations of the office. Responsibilities will include: 

  • Serves as a lead customer service contact for Academic Student Affairs, responding independently to complex, sensitive, and policy‑driven inquiries. Communicates clearly and professionally with students, faculty, staff, and administrators via phone, email, and in‑person interactions. Triages requests and determines appropriate resolution paths without routine supervision.
  • Exercises independent judgment when evaluating student record changes and university form requests, assessing policy compliance and downstream impacts. Determines appropriate responses, next steps, or escalation based on college and university guidelines. Handles exceptions and non‑standard situations requiring analysis and discretion.
  • Processes and maintains student academic records in the MSU Student Information System with an understanding of how changes affect degree progress and graduation. Maintains databases, records retention systems, and tracking tools to support high‑volume, deadline‑driven processes. Generates reports and uses data to support operational planning and decision‑making.
  • Provides administrative and analytical support for academic programs such as readmission, probation, reinstatement, orientation, recruiting, and international programming. Tracks applications, monitors progress, and ensures timely communication with stakeholders. Analyzes reports and workflows and makes recommendations to leadership for process improvement.
  • Manages multiple responsibilities with competing deadlines in a fast‑paced academic environment. Maintains detailed records, organizes documentation, and ensures timely follow‑up and closure of requests. Coordinates scheduling, meetings, events, and front office operations as part of a shared administrative team.
  • Handles sensitive student information in compliance with FERPA and university policies. Demonstrates discretion, reliability, and professionalism in all aspects of the role. Serves as back‑up support for other Office Assistant III functions and performs additional duties as assigned.

Minimum Requirements

Knowledge normally acquired through a high school education; three to five years of progressively more responsible administrative or office support experience requiring independent judgment and decision‑making; demonstrated proficiency with word processing, spreadsheet, database, and document management systems; experience working with enterprise systems (e.g., student information, financial, or records management systems); ability to analyze information, apply policies and procedures, and manage confidential records; experience coordinating multiple processes with competing deadlines; and strong written, verbal, and customer service skills; or an equivalent combination of education and experience.

Desired Qualifications

Experience working with the MSU Student Information System or comparable enterprise student records systems, with an understanding of how data changes impact academic processes. Demonstrated experience creating, analyzing, and maintaining reports using spreadsheets (e.g., Excel), including tracking, monitoring, and identifying trends. Experience with mail merges, form creation, and building or utilizing database queries; ability to work with data to support operational needs. Demonstrated ability to exercise sound judgment, make independent decisions within established policies, and recognize when consultation or escalation to a supervisor is appropriate. Proven ability to take initiative, research solutions independently, and self‑train on new systems, processes, or procedures. Ability to identify inefficiencies and contribute ideas to streamline workflows and improve administrative processes. Strong learning agility, problem‑solving skills, and the ability to adapt in a fast‑paced, deadline‑driven academic environment.
