Position Summary

The Operations and Technical Coordinator is a professional position responsible for coordinating the day-to-day administrative and operational activities of assigned departments within the College of Arts & Letters. This role ensures efficient delivery of services, effective use of resources, and smooth execution of departmental operations in support of faculty, staff, students, and external partners.

The position serves as a central liaison across departmental stakeholders and college functional units to coordinate workflows, manage logistics, and support operational processes. The coordinator evaluates operational needs, recommends process improvements, and implements systems and practices that enhance service delivery and organizational effectiveness.

Technology responsibilities are integrated into the role to support departmental operations, including coordination of audiovisual resources, support for commonly used systems and tools, and facilitation of issue resolution in collaboration with college and university IT partners.

This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a dynamic academic environment.

Key Responsibilities include: 

Operations and Administrative Coordination

  • Coordinate day-to-day departmental operations and service delivery
  • Serve as primary point of contact for faculty, staff, students, and visitors
  • Manage scheduling, communications, and documentation processes
  • Maintain records, directories, and communication tools
  • Support committees, projects, and initiatives
  • Develop and maintain office procedures
  • Train and oversee student employees
  • Serve as liaison across departments

Events, Resources, and Facilities Coordination

  • Coordinate logistics for events, meetings, and programs
  • Manage space, equipment, and service needs
  • Support travel and reimbursement documentation
  • Track expenses and prepare financial documentation
  • Coordinate facilities requests and building communications
  • Maintain records related to space and equipment

Process Improvement and Systems Coordination

  • Analyze workflows and identify improvements
  • Implement tools and systems to improve operations
  • Maintain documentation and procedures
  • Monitor processes and recommend adjustments

Technology and Audiovisual Support 

  • Support use of technology and AV systems
  • Provide guidance to users on common tools
  • Coordinate issue resolution with IT partners
  • Support technology for meetings and events
  • Assist with tools that enhance operations

Minimum Requirements

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate’s degree in a business-related field or in business, administration, higher education administration, communications, or a related field; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to administrative operations, program coordination, office management, or related functions; or an equivalent combination of education and experience.

  • Strong communication skills
  • Experience with productivity tools, such as Microsoft Office (Word, Excel, Outlook), Google Workspace, Qualtrics, and platforms that support scheduling, communication, event coordination, and task or project management (e.g., Teams, Zoom, Asana or similar tools). 
  • Experience in higher education
