Spartan Experience Record Coordinator

Position Summary

The Spartan Experience Record Coordinator will support the management and strategic growth of Michigan State University's (MSU) experiential and co-curricular record, the Spartan Experience Record (SER). The SER provides undergraduate students with a verified record of their learning and transferable skill development achieved through experiences in and outside the classroom. We seek candidates seeking to build skills in program development, student engagement, and credential innovation, including co‑curricular records and alternative credentials.

The coordinator is primarily responsible for undergraduate student engagement and will play a large role in SER advancements. They will help students identify, articulate, and showcase their skills and learning. They will lead individual and student group advising sessions, and plan, facilitate, and assess student outreach events. The coordinator manages the SER submission, review, and approval processes, and leads the university-wide review committee. They will supervise the student staff team and manage social platforms and student communications. Additionally, they will foster faculty and staff partnerships across the university.

Description of Responsibilities 

Program Development and Outreach (30%)

  • Create, implement, and assess a university-wide student engagement strategy to advance education and utilization.
  • Co-create, facilitate, and assess workshops and educational opportunities. 
  • Assist students in requesting and suggesting new opportunities for the SER.
  • Build and sustain partnerships with faculty and staff to expand record usage.
  • Represent the unit at student outreach and faculty/staff events through tabling and presentations.

 Submission Process Management (30%)

  • Coordinate SER tasks and support the review committee, including facilitation of training and meetings.
  • Advise faculty/staff through the submission process including creation, review, and approval, and key components such as learning outcomes, competencies, assessment and, when applicable, pathways frameworks (e.g., competencies tied to digital badges).
  • Facilitate conversations with submitters regarding their questions about experiential learning, record criteria, and processes.

Unit and Professional Development (20%)

  • Support Career Ready Spartans initiative and vision to shape a stronger career readiness ecosystem.
  • Create strategic communications and resources for student initiatives.
  • Support strategic planning and data review of the SER, including event participation and student use of the SER.
  • Co-manage the SER platform, attend vendor meetings and communicate with vendor as needed. 
  • Plan and facilitate student focus groups and develop surveys as needed.
  • Participate in professional development opportunities and present at conferences related to student learning, experiential education, and alternative credentials.

Student Staff Supervision (15%)

  • Recruit, hire, train, and supervise 4-6 student staffing positions including peer educators, office assistant, and graphic designer.
  • Supervise social media communication and platforms alongside student social media manager.
  • Mentor student staff and guide development of professional skills.

Other (5%)

  • Serve on SER, Office of Undergraduate Education, and/or other university and unit committees.
  • Attend and participate in staff and supervisory meetings.
  • Other duties as assigned.

Required Degree

Masters

Minimum Requirements

  • 1-3 years of professional experience.
  • Experience with advising or working with college students through programs, services, or student organizations.
  • Strong organizational skills with attention to detail when working with data or structured processes.
  • Experience working with campus partners (faculty, advisors, student leaders, or staff) across departments.
  • Demonstrated initiative, problem-solving skills, and willingness to learn.
  • Experience with Microsoft Suite or equivalent tools.
  • Demonstrated commitment to equitable access to learning opportunities for diverse student populations.
  • Ability to communicate clearly with students, faculty, and staff in oral, written, and visual formats.

Desired Qualifications

  • Experience supporting co-curricular, experiential learning, leadership, or career readiness programs.
  • Familiarity with learning outcomes, competencies, or skill‑based frameworks, especially outside the classroom.
  • Facilitation and presentation experience such as workshops, orientations, or student learning sessions.
  • Ability to manage complex projects and meet multiple deadlines. 
  • Interest in or exposure to alternative credentials, digital badges, or comprehensive learner records.
