Position Summary
The Department of Psychiatry seeks an office assistant to provide administrative support for Prevent 2 Protect: The Adolescent Targeted Violence Prevent Program. This is a 5-year, $15M community-based, multi-disciplinary service initiative funded by the Michigan Department of Education to avert targeted violence in the middle and high school settings. The office assistant will work closely with and at the direction of the project leadership. This position will work closely with the internal faculty and staff including regional teams, psychiatry department’s business office, office of sponsored programs and external sponsors/constituents/partners. The primary responsibilities of this position include:
- Interacts with university departments and community partners to engage and promote unit programs, provide clarification, resolve concerns, explain requirements, processes, and/or explain goals of unit programs
- Works with project leadership to respond to informational, interview, and other speaking requests
- Procures goods and supplies needed for project operations; processes financial transactions including disbursement vouchers, requisitions, and purchasing card transactions
- Processes travel requests and reimbursements for project faculty and staff
- Drafts, reviews, edits, produces, and duplicates audio, visual, video, and/or printed program promotional materials for distribution to target audiences via social media and other channels
- Monitors various publications and electronic sources of news and commentary for potential relevance to unit activities
- Assists with scheduling meetings and coordinating special events
- Provides backup for web page and social media design, maintenance, and content management
- Other duties as assigned
Due to the collaborative nature of the work done within the Prevent2Protect project, the individual in this position will be expected to work on campus every day.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in maintaining account ledgers, departmental operations, employment, or in performing tasks related to the area of employment; experience in word processing, editing and composing correspondence, and maintaining spreadsheets and/or databases; or an equivalent combination of education and experience.

- Demonstrated experience working with social media distribution platforms
- Excellent written and verbal communication skills
