Position Summary(Basic Job Function)

This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.

Operations and Events Support

Help bring the MSU Broad Art Museum to life!

The Operations and Events Support supports the planning and execution of museum programs, special events, facility rentals, and daily operations. Working with museum staff, clients, vendors, and campus partners, this role helps create seamless events and exceptional visitor experiences.

What You’ll Do

Coordinate museum events, programs, rentals, and photography sessions

Develop event timelines, floor plans, and logistics plans

Serve as Event Manager for assigned events and Manager on Duty during museum hours

Communicate with clients, vendors, visitors, and campus partners

Support rental inquiries, scheduling, invoices, and event records

Collaborate across departments to support museum programs and operations

What We’re Looking For

An organized, adaptable, and personable professional with event coordination or museum operations experience, strong communication and customer service skills, excellent attention to detail, and an interest in museums and the arts. Experience with event production/AV and working in a multipurpose facility is a plus

 

Position Summary

The Operations and Events Support plays a vital role in the success of the MSU Broad Art Museum by supporting the planning, coordination, and execution of public programs, facility rentals, and daily operations. This role supports a wide range of administrative and event-related responsibilities, from coordinating client communications and developing event logistics to serving as the onsite manager for museum events and facility rentals. Working closely with museum staff, vendors, security, and student employees, the Operations and Events Support helps ensure events are thoughtfully planned and seamlessly executed.

Characteristics and Responsibilities

Supports the museum's mission, vision, and values through commitment to exemplary visitor experiences and the successful planning and execution of museum events, programs, and facility rentals.

Maintains working knowledge of museum exhibitions, programs, operations, facility rental offerings, and visitor services initiatives.

Serves as Manager on Duty, providing operational oversight during museum open hours and responding to visitor, staff, and facility needs as they arise.

Serves as Event Manager for assigned museum programs and facility rentals, ensuring seamless event execution through coordination with museum staff, vendors, clients, and campus partners. 

Provides administrative support for museum operations, including invoice processing, event record management, and maintaining event information in Altru and other museum systems.

Assists with facility rental inquiries and scheduling, assesses event feasibility, communicates with prospective clients, and assists with the development of event proposals and recommendations. 

Coordinates vendors, service providers, and event support resources to ensure successful program and event delivery. 

Develops event logistics plans, including floor plans, timelines, and operational itineraries for museum programs, facility rentals, and special events.

Participates in cross-departmental planning efforts to support museum programs, events, and institutional initiatives.

Manages scheduling and logistics for internal and external photography sessions, including communication with clients, calendar management, and coordination of required museum staffing.

Maintains accurate event and scheduling records and ensures timely communication with museum staff, clients, vendors, and partners.

Provides exemplary customer service to visitors, event clients, photographers, vendors, and other museum constituents.

Other administrative duties as assigned.

Duration and Compensation

This is a temp position for 9 months with the possibility to renew for an additional 9 months. Position is regularly scheduled for Tuesday-Saturday with frequent weeknights expected.

The pay rate is $20 per hour.

Desired Qualifications

University Required Qualifications

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Hospitality, Event Management, Arts Administration, Public Relations, Communications, or a related field; at least two years of progressively responsible experience in event coordination, museum operations; or an equivalent combination of education and experience.

 

MSU Broad Art Museum Desired Qualifications

Excellent organizational skills with the ability to effectively work on multiple projects simultaneously.

Experience managing a wide range of public events in a multipurpose facility.

Ability to work both independently and in a collaborative team environment.

A motivated and flexible individual with an interest in broadening their knowledge in a creative cultural and teaching institution

Working knowledge of event production including audio/visual equipment

Strong organization skills and attention to detail.

Experience working with a diverse constituency.

Experience in customer service.

Friendly and outgoing; willing to approach and initiate conversation with visitors.

Punctual and professional work ethic. Ability to adhere to department and University policies and procedures, i.e. attendance policy, dress code, etc.

Interest in the arts and/or the museum field.

Computer skills including art and/or museums preferred.
