Position Summary
The Department of Teacher Education in the College of Education is seeking an Accounting Clerk to join our team! This position supports the Department’s Fiscal Officer and Research Administrator positions with financial transactions and account management.
The incumbent will be initiating purchases via DV/Pcard/Requisitions/POs for outside vendors, faculty, and students, such as:
- invoices (i.e. grant sub-contracts, etc.), including vendor set-up and maintenance
- research participant payments
- mentor teacher payments
- conference fees/memberships
- honorarium/speaker fees
- employee reimbursements
- check deposits
- additional pay for FAS-overload
- payment to students via egradfel or scholarship system
The incumbent will assist the Dept FO and Research Administrator with account management, by submitting:
- accounting correction documents (general error corrections, distribution of income and expense, intra account adjustments)
- cost redistributions
All financial transactions will require the incumbent to potentially gather any additional supporting documentation needed to process that is not provided by the Dept FO/Research Administrator.
The incumbent will assist with account management by:
- running relevant financial reports to provide to FO/Res Admin
- researching transactions or providing additional detailed information helpful to FO/Res Admin for monthly reconciliation
- following up on the payment process with notes, if necessary
- maintaining account files by saving relevant documents in the respective financial folders
- record expenses in financial spreadsheets
- research costs for estimating potential impact on budgets by calling vendors to get quotes, determine going rates for services, etc.
The incumbent will be expected to attend classes necessary for maintaining certifications, fulfilling job duties and enhancement of work environment.
Additional duties may be assigned to support administrative operations including those normally associated with an Accounting Clerk II position.
Hybrid work statement: The college is currently operating under a hybrid work modality structure, with staff working both in person and remotely each week. This structure is subject to change at any time.
Minimum Requirements
Knowledge normally acquired through a high school education; one to three years of related and progressively more responsible or expansive work experience in accounting, bookkeeping, records maintenance and/or experience in spreadsheet, word processing, and/or database software. The job may require knowledge of technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.
