Position Summary
Salary: $53,800 - $65,700 annually depending on experience. This position serves as administrative and operational support for IPF Custodial Support Services (CSS). CSS Operations includes IPF Custodial Logistics & Supplies, IPF Campus Custodial Events, Equipment, Equipment Maintenance, Hard Floor Care and Carpet Care Services. The position functions as an assistant to the CSS Manager and is responsible for purchasing supplies, managing service requests, maintaining operational data, and supporting campus-wide support services to the custodial department and custodial event operations. Success in this role requires strong organizational skills, attention to detail and the ability to manage multiple priorities simultaneously.
Detailed breakdown of job responsibilities is as follows:
30%: Manage custodial supply procurement and related transactional processes in support of custodial operations. Process and monitor orders through Spartan Marketplace, review order details for accuracy and compliance, and communicate with custodial supervisors regarding discrepancies or product concerns. Coordinate exchanges, returns, and order receipt activities within Planon, track outstanding transactions through KFS (Kuali Financial System), and maintain organized electronic records of procurement documentation.
25%: Administer and reconcile work orders within the Planon/IWMS (Integrated Workplace Management System), ensuring accuracy, completeness, and compliance with University policies and procedures. Monitor and coordinate work order transactions across multiple business systems, resolve discrepancies, maintain data integrity, and support accurate service delivery and stewardship of University resources.
25%: Coordinate and administer multiple IWMS workbenches, including scheduling and tracking activities for carpet care, hard floor care, and Event Custodial operations. Prioritize and coordinate work based on operational needs, maintain accurate account and work order information, and communicate with stakeholders to support effective service delivery.
10%: Perform miscellaneous administrative and operational support assignments, including cleanliness audits utilizing Orange QC software, data entry, and purchase requisition processing. Assist with KPI tracking, internal process audits, dashboard monitoring, and the preparation of audit summaries and related reports for management.
10%: Correspondence through email, training, meetings and professional development. Assist with filing, making copies, and maintaining accurate calendars/schedules.

Minimum Requirements
Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate’s degree in a business-related field; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to procurement, and scheduling; or an equivalent combination of education and experience.
Desired Qualifications
Two or more years working in an office type setting with customer service/administrative duties. Expert knowledge of computer software applications and data management systems. Demonstrated ability to learn and apply organizational policies, procedures, and operational processes. Experience working in Planon or an equivalent asset management software program. Experience working in KFS or similar financial software program. A highly motivated/self-starter who demonstrates the ability to work well with a team in a fast paced/quick decision environment. The ability to multi-task with accuracy, follow directions, communicate across various organizational levels, meet deadlines, and forecast the needs of department operations. Self-motivated with the ability to work independently in a fast-paced environment.
