About the Position

Program Coordinator has responsibility for administering and proctoring all local and national computer-based and paper/pencil testing in the Testing Center, and in accordance with National College Testing Association (NCTA) standards. Applies rules and regulations regarding all testing and exercises independent judgment. Independently advise students, staff, program participants and/or the public regarding program content, test policies, procedures, and center activities. Perform basic administrative duties to ensure smooth operation of scheduling exams, responding to inquiries from vendors, public, faculty and students. Serve to schedule, review and authenticate documents as required per Department of Homeland Security criteria for Western’s Passport Acceptance Facility.

Duties / Responsibilities:

Testing Center Coordination Responsibilities (70%)

  • Administer and proctor computer-based and/or paper pencil academic and professional certification tests under the responsibility of the Testing Center.
  • Independently attain proctor certification for multiple testing companies by reading manuals, studying online tutorials, and passing required online test for each company. Maintain current proctor certification and renew as required by testing companies.
  • Assist Testing Center Manager on training student workers and new staff.
  • Assist Program Manager on creating monthly student/temporary employees work schedule.
  • Monitor administrative and workstation functionality. Frequently work with tech support personnel at testing companies and WWU to troubleshoot and problem solve issues related to test delivery.
  • Read, interpret, apply and explain rules, regulations, policies and procedures for a wide variety of testing companies to ensure continuous compliance with established testing policies, laws, regulations, operating procedures, and University and accreditation standards.
  • Responsible for updating and maintaining testing calendar using sound judgment as to time and availability of workstations and client needs.
  • Participate in meetings, program special events, training and/or workshops for the purpose of furthering testing credentials and receiving and/or conveying information.
  • Monitor and reconcile monthly CASHNet reports for online payments.
  • Prepare monthly testing activity report by number and type of test from daily testing calendar.
  • In the absence of the Program Manager, assume delegated duties and authority of the position with support and guidance from supervisor.
  • Schedule, review and authenticate documents as required per Department of Homeland Security criteria for Western's Passport Acceptance Facility
  • Prepare Passport Acceptance calendar, process transmittal forms, monitor transactions, and report monthly usage.

Client Support (25%)

  • Provide information concerning university requirements for testing; assist students with applications and scheduling and counsel students informally on using test strategies and coping with test anxiety.
  • Provide information and technical assistance on math placement assessment; assist students with reset and extension requests, troubleshoot and help problem solve.
  • Administer and coordinate testing for ETS Major Fields Testing and department finals. Obtain authorized student list from faculty and block out dates for testing. Create login information and post on monitors.
  • Assist Program Manager in monitoring Honorlock violations, contacting flagged students, submitting Academic Dishonesty Violation forms, and contacting math department and Provost office, as needed.
  • Confer with students and faculty concerning the interpretation and implementation of university policies and procedures.
Required Qualifications
  • Associate degree from a regionally accredited institution of higher education or equivalent education/experience
  • Appropriate proctoring experience or closely related work experience with institutional and/or national testing platforms may be substituted for the degree on a year-for-year basis.
  • Must be able to work a flexible schedule, including evenings and Saturdays as needed.
  • Able to handle multiple tasks or projects at one time, meeting assigned deadlines.
  • Strong attention to detail and follow up skills.
  • Strong customer service skills and phone and e-mail etiquette.
  • Excellent interpersonal, initiative, teamwork, problem solving, organization, communication (verbal and written), time management, project management and presentation skills.
  • Excellent computer skills, including evidence of proficiency in programs associated with the position (i.e. Microsoft Office Suite), and the ability to learn new computer applications.
  • Able to complete requisite proctor certification training for the various testing organizations served through the Testing Center and maintain the standards for proctoring as provided by the organization.
  • Attain Passport Acceptance Agent certification and act as a passport agent, as needed.  (This requires proof of US citizenship through birth certificate or US naturalization papers; permanent residence does not qualify)
Preferred Qualifications
  • Bachelor’s degree from a regionally accredited institution.
  • One year proctoring experience with institutional and/or national testing platforms.
  • Familiarity with university policies, procedures, and experience working with departmental faculty and staff.
  • Current certification for proctoring tests for computer-based national testing agencies.
  • Proficiency working in Banner Student Module creating/updating records and query reports.
  • Proficient in computer troubleshooting, installing software updates, maintaining administrative and workstation lab hardware, as necessary.

Salary  $3,802 - $5,086/month depending on qualifications and experience
