About the Position |
The Graduate School at Western Washington University seeks an enthusiastic and multi-talented Program Coordinator to join us in advancing the next generation of cutting-edge scholars, researchers, educators, care professionals, and leaders. The Graduate School provides administrative oversight and support for approximately 1,000 graduate students in over 40 master’s, doctorate, and certificate programs across multiple academic disciplines. The Program Coordinator will have wide-ranging duties as a part of our small, dynamic team, with the opportunity to work at every stage of the graduate student experience from prospective applicant through degree attainment. Successful candidates will be adaptive, detail-oriented and collegial, with the ability to take initiative and work well in a team environment. The skill to remain composed when dealing with clients is a plus, as is a sense of humor. This is a full-time, 24-month project-based position, located on-site in Bellingham with the possibility of occasional remote work.
Specific Duties:
- Prospective student and applicant support:
- Primary contact for admissions inquiries via e-mail, phone, and Request for Information (RFI) forms
- Maintain thorough and current knowledge of graduate program details, admission requirements, and application processes
- Effectively communicate program and admissions information to prospective graduate students, Western staff and faculty
- May assist in promoting graduate programs to prospective students
- Understand and communicate unique international student application policies and requirements
- Assist applicants in troubleshooting the admissions application system when necessary
- Graduate admissions and teaching assistant processing
- Perform initial review of admissions applications, including transcript review and GPA calculations
- Communicate with applicants and program faculty regarding outstanding requirements
- Exercise judgment in analyzing application documents for accuracy and completeness
- Enter admissions confirmations in Banner
- Enter Teaching Assistantship (TA) award data in Banner
- Communicate with students and faculty regarding TA registration requirements and compliance
- Assist with monitoring, review and approval of TA personnel action forms and health insurance applications
- Accurately maintain electronic student files and records in Applyweb, OnBase, and Banner
- Current student support:
- Contribute to degree completion functions and processes including entry of degree and certificate applications; track various degree completion requirements and update student records
- Update electronic student records related to post-master's certificate completion
- Communicate with faculty, staff, and students regarding Graduate School policies, requirements, and deadlines
- Act as lead on registration overrides, including continuous enrollment, thesis credits, and undergraduates in graduate level coursework
- Support for Graduate School programs and projects:
- As needed, provide support for orientations and events such as organizing rooms, catering, RSVP’s, etc.
- May assist in data collection and reporting activities, such as survey completion
- May attend meetings or conferences as a program representative
- Assist the Dean and Associate Dean with special projects as needed
This is a full-time project-employment position ending December 2026.

Required Qualifications |
- High School graduation or equivalent and a minimum of two years high-level clerical or administrative experience, or equivalent combination of education and experience
- Exceptional customer service and communication skills
- Demonstrated ability to work effectively and graciously with students, faculty, and staff of diverse backgrounds
- Demonstrated thoroughness and strong attention to detail
- Proven ability to work collaboratively and effectively in a team environment
- Proven ability to manage work priorities across multiple projects and specific timelines

Preferred Qualifications |
- Bachelor’s degree
- Experience working in a higher education environment
- Experience with Banner
- Knowledge of CRM applications such as CollegeNet
|

Salary |
$3,802 - $5,086/month depending on qualifications and experience |
