About the Department

The College of Humanities and Social Sciences, Western's largest academic unit, is composed of two divisions: humanities (Communication Studies; English; Ethnic Studies; Global Humanities and Religions; History; Journalism; Languages, Literatures, and Cultures; and Philosophy) and social and behavioral sciences (Anthropology; Communication Sciences and Disorders; Health and Human Development; Linguistics; Political Science; Psychology; Sociology; and Women, Gender & Sexuality Studies). These sixteen departments and interdisciplinary program, East Asian Studies offer 70 bachelor's degrees and 13 master's degrees.

In addition, several research and service centers are housed within the College, including the Center for Cross-Cultural Research and the Center for Performance Excellence, and four community-based professional training centers: the Speech-Language Clinic, Hearing Clinic, Aural Rehabilitation Clinic, and the Psychology Counseling Clinic. In addition, the College has six nationally accredited professional programs: School Counseling, Mental Health Counseling, Speech Pathology, Audiology, Community Health, and Recreation.

About the Position

This position provides comprehensive and confidential support to activities conducted in the College office and the 14 departments and two interdisciplinary programs; over 200 faculty, over 100 instructors, and 64 staff that comprise the College. Under the general direction of the Operations Manager (OM), this person coordinates, reviews, and ensures accuracy of CHSS's Outreach and Continuing Education academic year and Summer Session programs in collaboration with the Associate Dean; reviews, verifies, and processes staff and faculty hiring paperwork; maintains, updates, reconciles, and monitors the College budget and database system, which facilitates fiscal planning for the College, including substantial data entry, analysis, and budget reporting; and assists with developing and enhancing effective College communication tools between the College and its academic departments, faculty and staff. The incumbent provides process improvement and workflow recommendations developing new forms and processes when needed. The position assists with providing guidance and onboarding support to College academic department managers, drafts manager meeting minutes, and provides back-up for the Operations Manager and Administrative Assistant as needed.

Typical duties include:

  • Supporting budget planning and monitoring by reviewing, analyzing, and reconciling college budgets; provide fiscal analysis and projections to the Dean and Operations Manager as requested.
  • Transfer college and department permanent and temporary budget funds following division and university accounting procedures.
  • Consult with Academic Budget Administration, Budget and Financial Planning, Accounting Services, and Human Resources as to resolve discrepancies as needed.
  • Prepare fiscal year end closing adjustments; advise and support academic departments within the college on university year end closing processes.
  • Support Associate Dean with coordination and management of Outreach and Continuing Education (OCE) academic year and summer session scheduling and faculty contracting for the College; serve as liaison between departments and OCE.
  • Review, verify, and process hiring documents including faculty contracts, faculty and staff personnel forms, and supporting documentation; advise and support College departments throughout the hiring process; analyze trends as requested by Associate Dean and Dean in annual schedule planning process.
  • Review and analyze data against College database; create, update, and enhance database forms and reports; recommend efficiencies and process improvements.
  • Maintain and enhance College website providing technical support and consulting with university WebTech; comply with ADA website access requirements; support departments as necessary.
  • Support office operations and functions as needed.

For Washington State HR purposes, this position is classified as a Fiscal Analyst 2.

Required Qualifications
  • Bachelor's degree or equivalent work experience.
  • Two years of related professional experience
  • Outstanding ability to establish and maintain a collegial, cooperative and collaborative work environment in a high pressure and confidential setting and with a wide variety of staff, faculty and students
  • Demonstrated ability and commitment to cultivating working environments that are equitable and inclusive of all persons with diverse social identities and backgrounds
  • Commitment and proven ability to practice and maintain a high level of confidentiality and professionalism
  • Advanced expertise with computer operating systems and programs such as Office, Word, Excel, Outlook and Access, SharePoint, and Web design programs, including development and maintenance of relational data systems
  • Demonstrated expertise with Banner and Millennium or similar data systems
  • Proven ability and willingness to learn new systems
  • Experience with complex budgeting assignments including a high attention to detail and accuracy
  • Ability to work independently and to exercise appropriate judgment in applying rules and regulations
Preferred Qualifications
  • Advanced expertise with Banner and Millennium data reporting
  • Advanced expertise with data reporting in Excel and PowerBI
  • Professional experience in supporting higher education administration
  • Professional experience working in state or government organization
  • Professional experience in fiscal management, budgeting, or accounting coursework.

Salary  $4,498 - $6,047/month depending on qualifications and experience
