Job Description
- Assist in preparing account opening forms, KYC updates, trade instructions, product subscription documents, and related compliance paperwork.
- Follow up on client signature collection, document filing, and system entry to ensure compliance with internal policies and regulatory standards.
- Step into frontline support during peak periods or team needs, assisting relationship managers with day-to-day client servicing and sales processes for HNWI clients.
- Manage the executive’s calendar comprehensively, including meetings, business trips, corporate events, and key action items, ensuring optimal time utilization.
- Handle correspondence, calls, visitor arrangements, and internal communications; prioritize and escalate matters as needed.
- Prepare high-quality meeting packs, presentations, reports, and briefing materials with accuracy and professional formatting.
- Competently use AI tools (e.g., Microsoft 365 Copilot, BOCHK’s internal intelligent platforms, or other generative AI systems) to draft documents, summarize meetings, generate recommendations, and streamline workflows.
- Support the creation of dynamic reports, performance dashboards, or market trend briefings to aid managerial decision-making.
Requirements:
- Bachelor’s degree or above.
- Minimum 5 years of experience as an executive assistant or senior secretary in financial institutions; experience in private banking, wealth management, or asset management is highly preferred.
- Must hold HKSI Licensing Examination Pass Results for Type 1 (Dealing in Securities) and Type 4 (Advising on Securities), with valid CPD completion.
- Prior RMA training completed, with familiarity in sales cycle, compliance requirements, and client service standards.
- Excellent written and spoken Chinese and English.
- Proficient in Microsoft Office Suite; familiar with Teams, Zoom, and other virtual meeting platforms. Competent in using AI tools for document drafting, meeting summarization, data analysis, and workflow optimization.
- Highly self-motivated, proactive, and able to work independently with minimal supervision.
- Strong sense of confidentiality, professionalism, and resilience in high-pressure environments.
