Job Overview: Part-Time Program Specialist the Part-Time Program Specialist for the Career Exploration team works under the supervision of the Associate Director of Career Planning to support departmental operations.

Key responsibilities include receptionist duties, data entry, and assisting with tasks related to program operations. Additionally, the specialist supports the Associate Director on various projects and assignments, ensuring the efficient achievement of the department’s goals and initiatives.

Job Description: Office Assistant

● Provide high-quality customer service in the Advising and Career Exploration Center within University College, ensuring professional, friendly, and positive interactions with students and visitors.

● Oversee front desk operations, including greeting students and visitors, answering phone calls, addressing inquiries, and directing or referring individuals to appropriate staff members when necessary.

● Serve as a resource for information regarding Career Exploration Team policies and procedures, including assisting with scheduling appointments, referring students to walk-in hours, scheduling alumni appointments, and coordinating workshops.

● Manage the Career Counseling email account, ensuring timely responses and directing inquiries to the appropriate counselor.

● Set up Career Events in Proflink, Rowan Announcers and assist with on-site tasks during career fairs.

● Reserve spaces using 25 Live as needed.

● As required, participate in staff meetings, training sessions, and individual meetings with supervisors.

● Provide support to office staff on projects and clerical tasks as needed.

● Perform additional duties as assigned by supervisors.

Qualifications

● Strong interpersonal and communication skills with the ability to provide professional, friendly, and positive customer service to students and visitors.

● Proficiency in managing front desk operations, including answering calls, addressing inquiries, and directing individuals appropriately.

● Excellent organizational skills to maintain and update office resources, calendars, communications and events.

● Flexibility to perform additional duties as assigned and adapt to evolving departmental needs.

● Proficiency with standard office software and platforms (e.g., Microsoft Office Suite, email, scheduling tools).

● Previous experience in a customer service or administrative support role is preferred.

 

Rate: $21 per hour

Hours: 

  • This temporary, part-time position is assigned no more than twenty-five (25) hours per week and is not to exceed 944 hours per fiscal year. Work is contracted annually to coincide with the fiscal year and is contingent upon budget appropriations.
