Position Description

Job Summary

Under the general supervision of the department chair in WGQS, this position provides full administrative support to faculty, staff, students, and, as needed, the general public. The incumbent is responsible for a variety of administrative and specialized office functions to support the department/programs. This includes but is not limited to class scheduling; tracking financial transactions and reconciling budgets; organizing documentation and committees for tenure-line candidates for retention, promotion and tenure and periodic and other reviews for lecturer faculty; and personnel processes including recruitment and payroll. This position requires a detailed understanding of numerous policies and procedures within the College and University. Because the department chair positions come up for reelection every three years, the person in this position provides continuity for these various complex departmental operations.

Note: This position is 32 hours per week (0.8FTE) and paid under the 11/12 pay plan, where salary for 11 months is distributed over 12 months with JULY off (with pay, benefits, and vacation/sick leave accrual continuing through months off).

Department Summary

The Women’s Gender & Queer Studies (WGQS) Department, in the College of Liberal Arts, administers two minors, in Women’s & Gender Studies and in Queer Studies. In addition to supporting approximately 60 minors across both programs, the majority of WGQS courses also satisfy general education and breadth requirements for Cal Poly students. The department generates approximately 5000 SCUs during the academic year across all its course offerings, with additional summer offerings. The department is comprised of a department chair, 6-8 part-time lecturers, two one-third appointed tenure-line faculty members (each of whom are jointly appointed in a second department), two tenure-line faculty members with official MOUs for regular teaching assignments in the WGQS Department, and number of tenure-line faculty members from across the CLA who also regularly teach and/or contribute to the department via more informal agreements.

Key Qualifications

  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Working knowledge of budget policies and procedures. Ability to perform business math, such as calculate ratios and percentages, track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Thorough knowledge of English grammar, spelling and punctuation.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

Education and Experience

High school diploma or its equivalent. Four years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Salary and Benefits:

Anticipated Hiring Range: $27,412 - $35,200 per year based on 32 hours per week (0.8FTE), 11/12 work schedule

This position is paid under the 11/12 pay plan, where the salary for 11 months is distributed over 12 months. The salary will be received every month. The incumbent will have one month off every year (with pay, benefits, and vacation/sick leave accrual continuing through month off).  The one month will be July.

Classification Range: $33,708 - $56,628 per year based on 40 hours per week (1.0FTE), 12/12 work schedule
