Job Summary

Under the general direction of the Executive Director of Customer and Business Services, the Lead Business Services Coordinator operates independently providing a full scope of administrative business support for the campus community and the FMD organization along with assisting Customer Service Coordinators with training and direction. Utilizing excellent business skills, this position serves as a member of Customer and Business Services department and is responsible for helping with recruitments, professional development, employee retention, and general employee support along with departmental and project financial support.

Department Summary

Facilities Management and Development (FMD), a unit within the Administration and Finance Division (A&F), is responsible for the planning, design, construction, operations, maintenance, and repair of university facilities, grounds, and infrastructure. FMD consists of four critical and interdependent support departments, including Customer & Business Services; Facilities Planning & Capital Projects; Energy, Utilities, & Sustainability; and Facilities Operations. Key Qualifications

  • Assist with the recruitment process including setting up recruitments in the campus-wide recruitment software, scheduling with candidates and search committees, routing requisitions for approvals, and maintaining a department-wide recruitment tracker.
  • Assist with onboarding scheduling, trainings, and obtaining tools to help the new employees start off successfully. Assist with hiring and onboarding student employees.
  • Assist with researching professional development with managers and training programs to help customize and enhance employee skills and development. This includes working with EH&S to find the preferred courses.
  • Work with the Chancellor’s Office to track FMD professional development, including Instructor Lead Training and tracking.
  • Provide mentoring and training to all Coordinators and student assistants.  This includes data entry, purchase/invoice processing coordination, travel support, calendaring, and work documentation.
  • Provide financial support to the department with invoice processing; purchase requisition and order processing; training and supporting travel requests; and assisting with data analytics.
  • Assist with monthly department-wide finances including specific fund management.  This includes working with management on the health of their units and assisting them with their forecast.  This could include assisting in closing out purchase order and staffing cost management.

Education and Experience

  • High school diploma or its equivalent. Type 45 wpm. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience).

Salary and Benefits

Anticipated Hiring Range: $50,962 - $66,534 per year

Classification Range: $48,696 - $79,836 per year
