The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $3,400.00/month to $4,106.00/month.

About the Position

Accessibility Services (AS) provides eligible students with disabilities academic support services, disability management counseling, education/community resources, and strategies necessary to provide them with an accessible educational experience, as prescribed by section 504 of the Rehabilitation Act and Title II of the Americans with Disabilities Act Amendment Act (ADAAA), and relevant policies pursuant to CSU executive orders and processes.

The purpose of this position is to provide administrative and coordination support to the Accessible Testing Coordinator. This position will be responsible for the coordination and facilitation of scheduled exams, as delegated by the Accessible Testing Coordinator. On occasion, this position will provide front line customer service and proctoring in the absence of a scheduled student assistant. This position will assist with office management, inventory, and operational assessments. This position is responsible for providing support for routine accessible testing situations, de-escalating circumstances when possible, while also exercising judgment on when to bring the situation to the Accessible Testing Coordinator and/or AS Assistant Director. The incumbent may occasionally have to adjust their work schedule to meet the needs of the department, most often during Finals Week.

This is a temporary, full-time position through June 30, 2022, with the possibility of reappointment. 

Responsibilities

Coordinate Requested Accessible Testing Sessions

  • Receive, process, and schedule requests for accessible testing accommodations for Hayward, Concord, and Oakland campuses in a timely manner.
  • Communicate with students to confirm scheduled exam requests and to gather information related to student accommodations, schedules, and requirements related to their exam.
  • Communicate with faculty and academic departments to ensure testing conditions and exams are delivered to the AS Testing office in a timely manner.
  • Answer calls and emails promptly.
  • Advocate on behalf of students when needed to ensure students receive approved accommodations.
  • Communicate exam details and course-specific requirements and expectations to students when necessary.
  • Collaborate with AS Counselors as needed to ensure that student testing accommodations are being provided effectively.
  • Ensure appropriate return of completed exams to academic departments within one business day.
  • Promptly respond to, and address, unexpected issues related to Accessible Testing that student assistants are not qualified to address.
  • Utilize judgement and discretion in navigating sensitive situations regarding student accommodations and course integrity.
  • Assist with hiring, training, and scheduling proctors, readers, scribes, and/or other testing service providers as needed.
  • Assist with scheduling and maintaining space across campus to be used as testing locations as needed.
  • Arrange for assistive technology, furniture, and other testing accommodations as needed.
  • Prepare and organize testing materials in accordance with individual accommodations and testing protocols.
  • Convert exams into an accessible format as needed.
  • Maintain all standard operating procedures related to testing to ensure test confidentiality, security, and integrity. Respond to potential violations of testing protocol with discretion and consistency.
  • Assist with developing and updating office processes to best meet campus demand for services.
  • Remain up to date on AS policies that relate to Accessible Testing accommodations.

Administrative Support for Accessible Testing Operations

  • Act as front line customer service in the absence of a scheduled student assistant.
  • Act as proctor in the absence of a scheduled student assistant.
  • Efficiently and accurately respond to inquiries based on policies and practices of the Accessible Testing office.
  • Maintain and organize inventory of testing supplies, assistive technology, and accessible computer equipment, notifying Accessible Testing Coordinator when additional supplies are needed.
  • Assist Accessible Testing Coordinator with hiring, training, and scheduling student assistants.
  • Lead the work of student assistants and proctors in the absence of the Accessible Testing Coordinator.
  • Assist with development and maintenance of Accessible Testing information, notices, and training materials, including but not limited to signage, emails, phone calls, and other campus notification systems.

Other Duties as Assigned, Including, But Not Limited to:

  • Attending regularly scheduled briefing meetings with Assistant Director and/or Accessible Testing Coordinator.
  • Attending regularly scheduled AS staff meetings.
  • Other tasks associated with supporting departmental operations.

Required Qualifications

  • Demonstrated ability to communicate effectively with diverse student, faculty, staff, and community
  • Demonstrated competency in effectively presenting standard information in writing
  • Ability to interact and communicate with a variety of individuals regarding sensitive and complex issues, addressing concerns and actively problem solving
  • Strong organizational skills
  • Demonstrated experience working with individuals with disabilities
  • Experience and knowledge of post secondary infrastructure, policies, and procedures
  • Highly skilled with Google applications, MS office applications, and Adobe Acrobat
  • Ability to refer highly complex problems to appropriate staff
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies
  • Demonstrated competency in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions
  • Working knowledge of common office functions and equipment (i.e. copy machine, fax, computer, keyboarding, phone, scanner, etc.
  • Ability to apply independent judgment, discretion, and initiative to address complex problems and develop practical, thorough and, at times, creative solutions
  • Strong capacity to maintain attention to detail and handle multiple priorities and projects in an environment with distractions
  • Ability to lead and maintain the operations in the absence of direct oversight
  • Ability to work independently, as well as an effective team member

Minimum Qualifications

Requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Skills and Knowledge

  • In-depth knowledge of policies and procedures of the University and the Accessibility Services Office.
  • Experience with academic accommodations.
  • Demonstrated knowledge of assistive technology software and hardware used by students including, but not limited to, optical character recognition, transcription of electronic media to accessible formats, JAWS, ZoomText, Kurzweil, and Dragon Naturally Speaking.

Condition(s) of Employment

Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment.  Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
