Under the direct supervision of the Department Specialist, this position provides support to the Department of Romance, German, Russian Languages and Literature in the area of administrative assistance to faculty and department chair and assists with six programs in a department office of approximately 13 tenured/tenure-track 3, 31 lecturers, and 12 Teaching Assistants, and 4 Graduate Assistants; serves as one of the resources for information and support for Department policy and practice for faculty, staff, and students. There are 6 undergraduate programs with 4 BAs (116) majors and second majors, 6 minors (146), three certificates (15), and 4 MAs (34). Fall 24 FTES is 358.8.

Key Responsibilities

  • Enters, types, reproduce updates, archives and tracks course schedules, curriculum, and book orders, using CMS program when necessary.
  • Receives visitors and incoming telephone calls for the Department.  Provides clerical support for faculty in the Department.  Provides information and directs inquires to appropriate parties.  Maintains appearance of offices and posted materials.
  • Serves as department mail clerk and maintain office and photocopier supplies.
  • Serves as department Web Master and Technology Help Desk resource.
  • Arranges events and activities in collaboration with supervisor and faculty members.

Knowledge Skills and Abilities

Ability to establish and maintain good working relationships with a variety of people--faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices relating to an academic environment.  Ability to perform and concentrate in noisy environment that involves independent judgment, accuracy, and speed. Working knowledge of Windows, Word, e-mail, spreadsheet, databases, publisher, webpages, and CMS.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to three (3) years of administrative support experience required. Academic department or program experience preferred

• Bachelor’s degree preferred

• Academic department experience preferred.

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0  time-base, 40 hours per week.

Duration of Appointment

This is a temporary position ending in June 30, 2026 with no permanent status granted. Temporary assignments may expire prior to the ending date.
