Monday through Friday; from 8:00am to 5:00pm

 

Anticipated Hiring Range

$4,197 to $4,900 per month ($50,364 to $58,800 annually)

 

Salary is commensurate with experience.

 

Position Summary

The College of Science & Engineering (CoSE) is comprised of nine on-campus departments, several on-site centers and two off-site centers with a total population of approximately 170 full-time faculty, 90 staff and 300 student employees. The Finance Team in COSE is in charge of budgetary and fiscal operations to provide professional administrative support to various stakeholders within and outside of COSE so that high-quality teaching and research can be carried out as intended. The Fiscal Operations Specialist provides analytical and administrative support functions in the College of Science &

Engineering, assisting the college Manager of Fiscal Affairs (MFA) in checking and reviewing 80+ procurement card monthly reports of the Dean’s Office and departments within the college. Under the supervision of his/her manager, s/he will collect, review, monitor, and maintain a broad range of fiscal related data for the Dean’s Office.

 

Position Information

Accounting

Manages and audit 80+ procurement/travel card monthly reports, and wide range of fiscal paperwork (reimbursements, direct payments, journal entries, Trust and UCorp agreements etc.) for the Dean’s Office and departments within the college. Provides guidance to faculty/staff on procurement card and reimbursement procedures and policies. Provides recommendations to Director of Budget & Finance (DBF) on issues related to procurement/travel card and other fiscal paperwork mentioned in this section. Reviews the accuracy of the fiscal paperwork along with necessary supporting document to ensure all information is complete and correct, and submits the paperwork to DBF for reviews and approvals.

Analytical

Assist DBF in collecting and analyzing financial data. Prepares data for annual NSF HERD survey for the college, and financial summaries for the departments. Oversees RRT submission records and assists DBF in identifying discrepancies and reconciling RRT records. Assists in collecting, reviewing, monitoring, and maintaining a wide range of fiscal and personnel related data for various projects in the college.

Administrative

Logs and maintains fiscal transaction records. Files and manages physical/electronic documents, and maintains internal database. Prepares paperwork for the Dean’s Office and accounts/funds managed by the Dean’s Office. Leads the DocuSign submission process for the college office, provides training to chairs, AOCs and faculty who needs guidance on DocuSign processes. Works collaboratively with other Dean’s office staff to provide administrative support as needed.

Other projects/tasks including but not limited to: Cross trained on (1) Travel paperwork and (2) Processing invoices.

Other duties as assigned.

 

Minimum Qualifications

  • General knowledge and skills in the applicable administrative field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Ability to make independent decisions and exercise sound judgment.
  • Ability to compile, write, and present reports related to program or administrative specialty.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.

 

Preferred Qualifications

  • Completion of a bachelor degree in accounting or related fields, or a bachelor degree with experience
  • in the accounting industry highly preferred.
  • Knowledge of the CFS and finance data warehouse.
  • Proficient in Microsoft Office (Excel, Word and Outlook etc.).
  • Ability to work independently and great attention to details in a fast-pace environment.
  • Able and willing to take on special projects as needed.
  • Familiarity with business offices and operations as well as accounting and other administrative
  • practices.
  • Demonstrate independent judgment coordinating various duties and be able to prioritize tasks in a short
  • amount of time and in times of multiple deadlines.
  • Able to learn and adapt to new administrative practices and reporting tools as needed.
  • Must be a team player and able work collaboratively.
  • Able to work in harmony with the rest of the college staff and always present a pleasant and positive attitude for people we serve or assist, which includes faculty, administrators, staff, students, and guests from off campus.
