Position Summary:

We're looking for a detail-oriented Senior Administrative Assistant to join the Natural Sciences Division. In this role, you'll provide essential support to the Department of Chemistry, handling tasks that range from managing budget expenditures and coordinating events to general office duties. You'll also assist the Department of Biology with general office support. If you are a self-starter with excellent organizational skills and a knack for keeping things running smoothly, we encourage you to apply.

Provide administrative support to the chair and faculty of the Department of Chemistry. Monitor department budgets and use of endowments; manage conference and event logistics; initiate check requests, Personnel Action Form (PAFs), and other confidential materials. Provide personal, e-mail, and telephone reception to a wide constituency. Respond to issues and inquiries that do not require the Chair's personal attention, based on established policies and procedures. Supervise student workers. This position also supports the Department of Biology by providing administrative support for department record retention, processing, and management, for department committees, and for program/course assessment data tracking. Assists with general office support including package receipt, office supplies, room scheduling, department seminars, travel, events. Maybe called upon to provide backup support for other departments within the Natural Sciences Division.

Minimum Qualifications:

High School Diploma.
At least 3 years of full-time administrative support experience in a professional office environment
Proficiency with Microsoft Office software (especially Excel and Word) as used for preparing forms and maintaining correspondence, University reports, and special projects.
Experience managing/tracking and reconciling budgets and spend.
Ability to manage multiple priorities in observance of deadlines.
Ability to work independently with little to no supervision.
Ability to plan and organize work and reconcile data in observance of deadlines.
Ability to maintain confidentiality.
Ability to adapt to new information and systems.
Excellent written communication skills
Ability to work effectively as a cooperative member of a professional office.
Ability to draft documents independently and proof-read documents for errors.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

Associate’s degree.
Demonstrated ability to engage effectively, respectfully, and professionally with constituents at all levels in an organization.
Experience working in a college or university office with a variety of constituents such as faculty members, staff, administration, students, parents, advisory council members, and university guests.
Successful experience organizing systems for office workflow.
Resourcefulness in solving work-related situations.
Successful experience organizing and maintaining detailed records and data files.
Experience making travel reservations (flights, hotels, car rentals); and hospitality/catering arrangements.
Experience with Cognos, 25 Live, Banner, and JAGGAER (or similar software).
Experience with event planning.
Familiarity with University of Dayton academic structures, procedures, and policies.
Knowledge of and sensitivity to Catholic and Marianist educational values.
