Reporting to the Director of Employee Experience and Engagement, the Administrative Services Specialist is a key player in building a strong talent pipeline for the University of Dayton Research Institute (UDRI) and enhancing the student employee experience. This position manages the UDRI Student Scholar Program, develops relationships with educational institutions, and identifies/engages diverse recruitment channels. This specialist oversees UDRI’s range of promotion actions, acts as a liaison with UD’s Office of Human Resources, and provides guidance to supervisors in developing and modifying position descriptions, ensuring they align with UDRI’s compensation and classification system.
The Administrative Services Specialist ensures compliance with HR policies and procedures, addresses system issues, and provides guidance on business unit restructures, workforce planning, and succession planning. This position plays a crucial role in data analysis as well as identifying trends and patterns related to recruitment, hiring processes, staff count, and turnover. The specialist prepares visually appealing reports to support senior leadership in decision-making and facilitates UDRI’s annual field of study and education survey.
The Administrative Services Specialist combines strategic talent development with meticulous data analysis, contributing significantly to the organization’s growth and success.

Minimum Qualifications: |
1. Bachelor's degree in a relevant field. 2. At least three years of experience in human resources, payroll, or business management. 3. Experience in handling confidential information appropriately. 4. Experience working collaboratively on diverse and multifunctional teams. 5. The ability to influence internal and external customers without direct authority. 6. Strong written, oral, and interpersonal communication skills. 7. The ability to stay organized, be self-directed, multi-task and appropriately prioritize responsibilities. 8. Proven ability to simultaneously manage multiple projects, including schedule, budget, and resources. 9. Intermediate level skills with Microsoft Outlook, Excel, Word, PowerPoint, and Adobe Pro. 10. Process improvement experience involving complex systems. 11. Due to the requirements of our research contracts with the U.S. federal government, candidates for this position must be a U.S. citizen.

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:
1. Advanced degree in a relevant field. 2. Four or more years of experience in a human resources function. 3. Experience with support of sponsored research programs. 4. Demonstrated knowledge of human resources management. 5. Demonstrated experience with Deltek Costpoint. 6. Demonstrated experience in talent management suites such as PageUp. 7. Demonstrated knowledge of employment law. 8. Active human resources professional certification.
